Private Advertiser is seeking an Inventory Manager – Fleet Operations to oversee planning, control, storage, issuance, and monitoring of all fleet inventory including spare parts, tires, batteries, and maintenance supplies. The role ensures parts availability, accurate records, cost control, and support for fleet maintenance.
You will supervise inventory staff and coordinate with the Fleet Service Manager to optimize stock levels and supplier performance.
The Inventory Manager – Fleet Operations is responsible for overseeing the planning, control, storage, issuance, and monitoring of all fleet-related inventory, including spare parts, vehicle supplies, tires, batteries, tools, lubricants, and other maintenance materials.
The position ensures that required parts and supplies are available when needed while maintaining accurate inventory records, controlling costs, minimizing losses and wastage, and supporting the efficient operation and maintenance of the company's fleet.
Manage the day-to-day inventory of fleet spare parts, materials, tools, and supplies.
Maintain accurate records of all incoming, outgoing, and available inventory.
Monitor stock levels and establish appropriate minimum and maximum inventory levels.
Ensure availability of critical spare parts needed for preventive and corrective vehicle maintenance.
Conduct regular physical inventory counts and reconcile discrepancies.
Implement proper inventory storage, labeling, and organization systems.
Monitor inventory of vehicle spare parts such as:
Tires
Batteries
Engine parts
Brake components
Filters
Lubricants and oils
Belts and hoses
Electrical components
Other vehicle maintenance parts
Coordinate with the Fleet Service Manager and mechanics regarding required parts.
Verify that parts issued are properly documented and correspond to approved work orders or maintenance requests.
Monitor frequently used and slow-moving parts.
Coordinate with the Purchasing Department regarding replenishment of fleet-related inventory.
Prepare purchase requests based on inventory levels and operational requirements.
Coordinate with suppliers regarding availability, delivery schedules, and product specifications.
Assist in evaluating suppliers based on quality, price, delivery and reliability.
Ensure that delivered parts and materials match the approved purchase order and specifications.
Establish and maintain effective inventory control procedures.
Monitor stock movement and identify unusual usage, shortages, overstocking or potential losses.
Investigate inventory discrepancies and recommend corrective actions.
Ensure proper documentation for all inventory transactions.
Implement FIFO/FEFO practices when applicable, particularly for items with shelf-life considerations.
Coordinate closely with the Fleet Service Manager, mechanics and fleet personnel to ensure availability of parts and supplies.
Monitor inventory requirements based on preventive maintenance schedules.
Ensure that emergency or critical parts are available for unexpected vehicle breakdowns.
Track parts consumption per vehicle and maintenance activity.
Monitor the cost and usage of spare parts to help control fleet maintenance expenses.
Prepare regular reports covering:
Current inventory levels
Inventory movement
Stock shortages
Overstock items
Spare parts consumption
Damaged or obsolete items
Inventory variances
Purchase requirements
Inventory valuation
Monthly physical inventory results
Supervise and provide direction to inventory staff, storekeepers, or warehouse personnel.
Assign daily tasks and monitor employee performance.
Train team members on proper inventory handling and documentation.
Ensure compliance with company policies and inventory procedures.
Promote accountability, accuracy and proper handling of company assets.
Ensure inventory records are accurate and properly maintained.
Participate in internal and external inventory audits.
Maintain proper documentation for audit purposes.
Investigate discrepancies and recommend preventive measures.
Ensure that inventory areas are clean, secure, organised and properly controlled.
Bachelor's degree in supply chain management, Logistics, Business Administration, Operations Management, Accounting, or a related field.
At least 3–5 years of experience in inventory, warehouse, logistics or fleet-related operations.
Experience handling automotive spare parts or fleet inventory is highly preferred.
Previous supervisory or managerial experience is an advantage.
Knowledge of inventory management principles and warehouse operations.
Familiarity with automotive parts and fleet maintenance supplies is preferred.
Strong organisational and analytical skills.
Good communication and coordination skills.
Proficient in Microsoft Office, particularly Excel.
Experience using inventory management, ERP or warehouse management systems is an advantage.
