Job Summary
Responsible for controlling, maintaining, organizing, and distributing company documents and records in accordance with the Integrated Management System (IMS), ensuring that documents are properly reviewed, approved, updated, stored, and readily available to authorized personnel.
Key Responsibilities
- Manage the receipt, registration, filing, distribution, and retrieval of controlled documents.
- Maintain the Document Control Center (DCC) and ensure documents are properly organized and accessible.
- Assign document numbers, revisions, dates, and other required control information.
- Monitor document revisions and ensure obsolete documents are removed or properly identified.
- Maintain electronic and hard-copy records in accordance with company procedures.
- Coordinate document review and approval with relevant departments.
- Ensure IMS documents comply with established procedures and applicable standards.
- Maintain document registers, master lists, transmittals, and other document-control records.
- Assist during internal and external audits by providing required documents and records.
- Monitor document submission deadlines and follow up with responsible personnel.
- Maintain confidentiality and control access to sensitive company documents.
- Perform other IMS and document-control duties assigned by management.
Typical Qualifications
- Bachelor’s degree or relevant experience in Administration, Management, or a related field.
- Experience in document control, records management, or an IMS environment is an advantage.
- Knowledge of ISO 9001, ISO 14001, ISO 45001, or similar management-system standards is an advantage.
- Proficient in Microsoft Office and document-management systems.
- Strong organizational skills and attention to detail.
