Job summary

Emapta Philippines is seeking an Insurance Coordinator to support U.S.-based community and property management clients. The role oversees renewal, bidding, documentation, payments, and stakeholder communication, with a focus on risk control and continuity.

Night shifts required; weekends off; hybrid work in Baguio. The candidate will handle records, create summaries, coordinate with brokers, and ensure timely coverage while enjoying benefits and opportunities for growth within a global workforce

Qualifications

• 1-2 years of experience as a Customer Service Representative
• Excellent written and verbal English communication skills
• Strong proficiency in Google Workspace and web-based tools
• Experience in compliance auditing and records management

• Excellent organizational skills and attention to detail

Responsibilities

• Oversee the renewal, remarketing, and bidding processes for association clients.
• Obtain renewal proposals from incumbent agents and alternative bids from non-incumbent agents to ensure all prospective insurance carriers are approached.
• Evaluate insurance options, recommend appropriate coverage, and ensure client policies remain current.
• Maintain detailed records of policies, endorsements, binders, certificates of insurance, invoices, payment confirmations, renewal decisions, and broker correspondence.
• Apply consistent naming conventions and document retention standards to all insurance records.
• Prepare detailed insurance summaries and bid specifications or requests for proposals (RFPs).
• Inform clients of existing coverage amounts, limits, and deductibles.
• Compare insurance bids accurately using consistent coverage criteria.
• Present renewal proposals, advice, and recommendations to boards of directors and managers.
• Establish and maintain renewal calendars with internal milestones for exposure data, loss runs, appraisal updates, bid solicitation, board reviews, binding instructions, and final policy delivery.
• Identify potential risks and recommend mitigation strategies to minimize exposure.
• Conduct regular reviews and audits of insurance coverage and claims to confirm adequacy and compliance.
• Coordinate with insurance brokers, carriers, and other vendors to negotiate favorable terms, coverage, and rates.
• Process certificates of insurance and evidence-of-coverage requests.
• Review vendor certificates for required limits, expiration dates, and additional insured endorsements in collaboration with the appropriate operations team.
• Maintain premium payment trackers covering invoice amounts, due dates, installment schedules, payment statuses, and receipt confirmations.
• Coordinate and process payments according to established approval and accounts payable procedures.
• Prevent late payments and coverage lapses through accurate monitoring and timely follow-up.
• Prepare regular reports on insurance activities, claim statuses, and risk management initiatives for senior management.
• Maintain accurate, complete, and current records for all insurance matters.
• Process insurance claims, including documentation, insurer communication, and follow-up, to support timely resolution.
• Collaborate with managers and other team members to collect the information and documentation required for claims.
