Job Summary
The HR / Payroll Assistant supports the day-to-day processing and administration of payroll, acting as a case-management point of contact for employee payroll issues and working closely with the payroll processor to ensure pay is accurate and on time. This role reviews timekeeping data, retro pay, and pay period deadlines, and helps resolve employee questions and discrepancies as they arise. This role also works alongside the HR Admin to support timekeeping, and provides broader HR support including recruiting coordination, onboarding, compliance tracking, and general HR administration.
Job Responsibilities Payroll & Timekeeping
- Support payroll processing in Workday, including entering and reviewing payroll-related data for accuracy and completeness.
- Provide case-management support with the payroll processor through OSV, tracking submitted cases and following up to ensure timely resolution.
- Review and process retroactive pay (retro) adjustments, researching discrepancies and confirming corrections are applied accurately.
- Review employee time and attendance records for accuracy prior to payroll submission, flagging and resolving discrepancies.
- Work alongside the HR Admin to support timekeeping, including monitoring time entries, following up on missing punches or approvals, and helping ensure timekeeping records are ready ahead of payroll deadlines.
- Track pay period schedules and deadlines, ensuring all required submissions are completed on time.
- Serve as a point of contact for employees with payroll-related questions or issues, researching and resolving concerns or escalating as needed.
- Maintain accurate payroll records and documentation in accordance with company policy and applicable recordkeeping requirements.
Recruiting & Onboarding Support
- Schedule and conduct candidate interviews (via Teams) and coordinate next-round interviews.
- Prepare and distribute the APM / ACG weekly recruiting summary for leadership as needed in coordination with the Talent Acquisition Specialist.
- Post hard-to-fill APM positions to job boards such as Craigslist and Handshake.
- Update Workday onboarding records to reflect staffing changes.
- Coordinate APM new hire training, including scheduling sessions, conducting the training, and tracking completion as needed.
- Coordinate scheduling for ACG website headshots as needed.
HR Administration & Compliance
- Review and add 90-Day HR Check-In responses to the tracker.
- Schedule APM HR check-ins on an as-needed basis.
- Review employee compliance training records and send alerts on outstanding items.
- Support file audits within the e-filing system.
- Support assigned projects such as I-9 audits, Gracehill audits, and job description updates.
- Send DocuSign requests as indicated (policy changes, job descriptions, WFH agreements).
- Track receipt of annual performance reviews and goals.
- Support Labor Law Center account management, including adding new properties.
- Submit APM internal termination forms.
- Coordinate employee outreach campaigns for Glassdoor / Indeed reviews.
- Provide administrative support to HR team members on filing, expense reports, performance management, and other admin tasks as needed.
- Communicate proactively with HR, Payroll, and other stakeholders regarding issues, deadlines, and outstanding items.
- Perform other related payroll and HR administrative duties as assigned.
Qualifications
- 1-2 years of experience in payroll processing, payroll support, or payroll/HR administration required.
- Experience working with Workday payroll strongly preferred.
- Exposure to retroactive pay adjustments and researching pay discrepancies.
- Experience reviewing timekeeping records and working to pay period deadlines.
- Comfortable working directly with employees to research and resolve routine payroll questions, escalating more complex issues as needed.
- Experience supporting timekeeping processes and general HR administrative functions preferred.
- Experience coordinating interviews or supporting recruiting processes preferred.
- Familiarity with applicant tracking systems (e.g., Workday) a plus.
- Comfortable managing compliance tracking and deadline-driven administrative tasks (e.g., I-9, training compliance, performance review tracking).
- Strong attention to detail and accuracy when handling sensitive payroll data.
- Strong organizational skills with the ability to manage multiple cases and deadlines at once.
- Effective written and verbal communication skills.
- Ability to maintain confidentiality of sensitive employee and payroll information.
