About the role
HR Assistant role supporting human resources operations, including employee records management, training coordination, compliance documentation, and administrative support for HR and quality management systems.
Key responsibilities
- Manage and maintain employee 201 files, ensuring completeness, accuracy, proper filing, and timely updating of employee records
- Monitor employee documentation requirements and coordinate with employees and Department Heads for missing or incomplete documents
- Maintain the Training Matrix, TNA, training records, attendance, evaluations, and certificates
- Coordinate training and development activities, including scheduling, communication, attendance monitoring, and documentation
- Provide administrative support for ISO/QMS compliance, including HR document control, monitoring of required records, audit preparation, and corrective-action documentation
- Ensure proper use and filing of approved HR forms and records
- Prepare and update HR trackers, monitoring reports, and basic HR reports
- Coordinate with employees and departments regarding HR requirements, training, documentation, and compliance
- Maintain confidentiality and proper handling of employee records and HR documents
- Perform other clerical and administrative HR duties assigned by the Senior Officer
About you
- Bachelor's degree in Human Resources, Psychology, Business Administration or related field
- 1-2 years HR/Admin experience preferred; fresh graduates may be considered
- MS Excel, Word, Google Workspace proficiency
- HRIS experience is an advantage
- Basic knowledge of HR Documentation, employee records, training and HR Process
- Basic understanding of ISO 9001/QMS documentation is an advantage
- Highly organized and detail-oriented
- Good Written and Verbal Communication Skills
- Able to handle confidentiality
- Responsible, Reliable, Discreet and willing to follow established procedures
