The HR Assistant is responsible for supporting the company’s human resources operations, with a primary focus on recruitment, employee coordination, and basic accounting tasks.
The role assists in sourcing and screening candidates, coordinating interviews, maintaining employee records, and providing administrative support for basic financial and accounting activities.
Responsibilities
Recruitment & HR Duties
- Create and post job advertisements on various recruitment platforms and social media channels.
- Source, screen, and interview applicants through phone, online, and face-to-face interviews.
- Evaluate applicants based on qualifications, skills, experience, and job requirements.
- Coordinate interview schedules and communicate with applicants regarding recruitment updates.
- Prepare recruitment reports and maintain accurate applicant records and databases.
- Assist in the preparation of job offers, employment documents, and onboarding requirements.
- Facilitate employee orientation and assist new hires during the onboarding process.
- Maintain and update employee 201 files and other HR-related documents.
- Monitor attendance, leaves, absences, and other employee records.
- Assist in preparing HR reports, memoranda, notices, and other HR documentation.
- Coordinate with department heads regarding manpower requirements and recruitment needs.
- Ensure proper filing and confidentiality of employee and recruitment records.
Basic Accounting Duties
- Assist in recording and encoding basic financial transactions.
- Assist in preparing and organizing vouchers, receipts, invoices, purchase orders, and other accounting documents.
- Monitor and organize financial records and supporting documents.
- Assist in checking and validating transactions for accuracy and completeness.
- Assist in basic bookkeeping and maintaining accounting records.
- Help monitor paylogs, expenses, and other company financial documents.
- Coordinate with the Finance or Accounting team regarding incomplete or missing documents.
- Assist in preparing basic financial and expense reports.
- Perform data entry and maintain accurate records using Microsoft Excel or accounting systems.
- Follow proper company procedures for handling and documenting financial transactions.
Job Requirements
- Bachelor’s Degree in Human Resource Management, Business Administration, Accounting, Finance, or a related field.
- With experience in recruitment and basic accounting is an advantage.
- Knowledge of recruitment processes, applicant screening, and interview coordination.
- Basic understanding of bookkeeping, financial documentation, and accounting procedures.
- Proficient in Microsoft Office, particularly Microsoft Excel.
- Strong organizational and administrative skills.
- Good communication and interpersonal skills.
- Detail-oriented and capable of handling confidential information.
- Able to manage multiple tasks and meet deadlines.
- Willing to learn and take on both HR and basic accounting responsibilities.
