Private Advertiser in the Philippines is seeking an HR & Admin Officer to support day-to-day HR and administrative operations as the company grows. You will handle recruitment coordination, employee records, onboarding and offboarding, attendance monitoring, payroll coordination, and HR compliance while working closely with founders and managers.

The HR & Admin Officer is responsible for supporting day-to-day human resources and administrative operations while helping establish organized, efficient, and scalable people processes as the Company grows. The role covers a broad range of HR and administrative functions, including recruitment coordination, employee records, onboarding and offboarding, attendance monitoring, payroll coordination, employee support, documentation, HR compliance, and general administration. The HR & Admin Officer is expected to be hands-on, organized, resourceful, and adaptable, with the ability to work independently while coordinating closely with the Founder, managers, employees, contractors, and external partners.
Maintain accurate and organized employee and personnel records, including employment-related documents, job offers, employment agreements, HR forms, and personnel documents
Monitor important employee dates, including probationary periods, contract renewals, regularization, leave balances, and other HR-related deadlines
Coordinate recruitment activities based on approved manpower requirements, including posting job openings, reviewing applications, conducting initial screening, and coordinating interviews and assessments
Communicate with candidates throughout the recruitment process and prepare applicant records, interview notes, and recruitment trackers
Coordinate the onboarding of new employees, contractors, and other personnel, including preparation of onboarding documents and orientation materials
Manage employee offboarding requirements, including clearance, turnover, exit documentation, and related processes
Monitor and maintain employee attendance and timekeeping records, and coordinate attendance-related concerns and schedule changes
Maintain and monitor leave records and coordinate payroll inputs, ensuring required attendance, leave, overtime, incentives, and deductions are properly submitted
Serve as a point of contact for routine employee HR concerns and assist employees with HR-related inquiries, documentation, policies, and benefits
Help develop, document, and maintain HR policies, procedures, forms, and guidelines aligned with applicable Philippine labor laws and regulations
Bachelor's degree in Human Resources, Psychology, Business Administration, Management, or a related field
At least 2–4 years of relevant HR and administrative experience, preferably in a startup, agency, SME, or fast-paced environment
Working knowledge of Philippine HR practices and employment requirements
Experience in recruitment, onboarding, employee records, attendance, leave, and general HR operations
Familiarity with payroll coordination and basic statutory benefits administration
Strong organizational and documentation skills with high attention to detail and accuracy
Strong written and verbal communication skills
Able to handle confidential information with discretion
Proactive, resourceful, and comfortable working independently and managing multiple priorities
