In this role, you will support the day-to-day administrative operations of a healthcare practice, serving as a key point of contact for patients and providers while ensuring seamless scheduling, intake, billing coordination, records management, and overall patient support. The ideal candidate thrives in a fast-paced environment, has excellent communication skills, and can independently manage multiple administrative functions while delivering an exceptional patient experience.
Answer incoming calls and respond to patient inquiries via phone, email, and other communication channels.
Provide professional, timely, and compassionate support to patients and clients.
Monitor voicemail, email, and messaging platforms to ensure prompt follow-up.
Escalate urgent, sensitive, or clinical concerns to appropriate team members while maintaining confidentiality.
Manage appointment scheduling, rescheduling, cancellations, and waitlists.
Coordinate new patient intake, onboarding, and documentation collection.
Gather, verify, and maintain accurate demographic, insurance, referral, and intake information.
Verify insurance eligibility, benefits, and coverage details.
Submit and monitor insurance claims and track payment status.
Process medical records requests, referrals, and HIPAA-compliant documentation.
Minimum of 2-4 years of experience in healthcare administration, patient services, medical reception, customer support, intake coordination, or related roles.
Experience working with U.S.-based healthcare providers, patients, or healthcare teams.
Strong background in appointment scheduling and calendar management, administrative support and office coordination, insurance verification and billing support, medical records management, patient intake and documentation, and client and patient communication.
Experience using EHR/EMR systems, CRM platforms, Microsoft Office, and Google Workspace.
Strong organizational, multitasking, and problem-solving skills.
Excellent written and verbal English communication skills.
Ability to work independently with minimal supervision.
High level of accuracy, professionalism, and attention to detail.
