Monday - Friday (9am-6pm)
Location: Downtown core (walking distance from Raffles Place MRT)
Diploma or Degree in Hospitality, Hotel Management, Business Administration or a related discipline.
Around 3–5 years of relevant experience in reception, front office, hospitality, office administration or workplace services.
Experience in a premium hospitality, luxury, banking, financial services or professional corporate environment would be an advantage.
Strong customer-service orientation with a professional and polished presence.
Confident interacting with senior stakeholders, international clients and VIP visitors.
Good organisational skills with the ability to manage multiple priorities.
Strong communication and interpersonal skills.
Discreet, dependable and attentive to detail.
Welcome clients, visitors and employees warmly and professionally. Deliver a high standard of service to clients and VIP visitors. Attend to enquiries and ensure requests or concerns are addressed promptly. Manage incoming calls and direct enquiries to the appropriate person or department. Coordinate meeting room bookings and arrangements for VIP visitors.
Manage the reception mailbox and day-to-day correspondence. Maintain visitor records and other reception documentation. Coordinate incoming and outgoing mail, courier services and deliveries. Support invoice processing and general administrative matters. Prepare reception and operational reports, including visitor statistics, call volumes and incident records.
Coordinate servicing, maintenance and repairs of office equipment. Manage office supplies, including procurement, inventory and distribution. Liaise and maintain good working relationships with vendors and external service providers. Support the Office Manager in ensuring smooth daily office operations.
Attend to employees' business travel enquiries. Liaise with the appointed corporate travel agency on flight arrangements. Assist employees with hotel reservations and other travel-related requirements.
Provide day-to-day operational and administrative support to the Office Manager. Assist other departments with ad hoc administrative requirements when needed. Ensure proper handover and backup arrangements are in place to maintain uninterrupted reception and office support.
