Job summary

IT By Design seeks an organized Operations & Growth Coordinator to support leadership, drive execution across the business, and ensure momentum across operations, client delivery, and growth initiatives. This role is not a traditional assistant, but a pivotal part of maintaining structure and accountability for success.

You will operationalize systems, coordinate key initiatives, and work with leadership to accelerate business growth and efficiency.

Qualifications

• 2–5+ years of experience in operations, coordination, project management, or executive support.
• Strong organizational and time management skills.
• Exceptional attention to detail and accountability.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities with minimal oversight.
• Comfortable learning and managing multiple business systems and tools.
• Proactive, resourceful, and highly execution oriented.

Responsibilities

• Manage executive calendars, scheduling, and priorities.
• Coordinate internal and client meetings.
• Protect time for high-value activities such as sales, strategy, and partnerships.
• Track action items and follow up with team members, vendors, and clients.
• Maintain core business systems (CRM, PSA/ticketing, documentation, compliance).
• Ensure leads, tasks, tickets, and opportunities are tracked and progressed.
• Identify workflow gaps and implement process improvements.
• Coordinate internal operations, meetings, and business priorities.
• Manage office logistics, inventory, supplies, and vendor coordination.
• Support client intake and onboarding activities.
• Assist invoicing, quote preparation, and proposal documentation.
• Follow up on project and service coordination; ensure SLA adherence.
• Plan and coordinate events, workshops, and growth initiatives.
