Job summary

KDCI Outsourcing is seeking a highly organized Project Mobilisation & Travel Administrator to coordinate personnel mobilisation, travel, supplier compliance, and project admin for teams. The role ensures mobilisation readiness, accurate travel arrangements, and up-to-date documentation while collaborating with project teams and stakeholders.

Qualifications

• Must have experience in administration, mobilisation, travel coordination, or project support.
• High-level organizational skills with the ability to manage multiple priorities.
• Exceptional attention to detail and accurate record-keeping.
• Strong written and verbal communication skills.
• Customer service mindset when dealing with employees, contractors, and stakeholders.
• Ability to work independently while collaborating with project teams.
• Proactive follow-up on documentation, compliance, renewals and actions.

Responsibilities

• Coordinate domestic and international travel bookings for employees and visitors.
• Arrange and manage travel changes, cancellations and exceptions.
• Prepare travel itineraries and communicate them to travellers and project managers.
• Coordinate mobilisation for employees and contractors, maintaining readiness and records.
• Track licences, medicals, competency and other compliance requirements.
• Maintain client and internal systems with up-to-date documentation and records.
• Ensure subcontractor pre-qualification and compliance documentation is complete and current.
• Support onboarding of subcontractors and provide timely compliance reporting.
• Communicate with project teams and stakeholders to align mobilisation activities.
