Front Desk Management:
- Greet and welcome visitors warmly, ensuring they feel valued and supported.
- Answer and direct phone calls, emails, and inquiries to the appropriate team members.
- Manage the sign-in process for visitors and maintain security protocols.
Administrative Support:
- Schedule and coordinate appointments, meetings, and events.
- Maintain and update contact lists, calendars, and office records.
- Assist with data entry, filing, and other clerical tasks.
Communication Coordination:
- Serve as a liaison between departments, staff, and external contacts.
- Distribute mail, packages, and other correspondence in a timely manner.
- Communicate updates or announcements to staff and stakeholders as needed.
Office Maintenance:
- Ensure the reception area is clean, organized, and welcoming at all times.
- Monitor and restock office supplies, reporting any shortages to the appropriate staff.
- Coordinate with maintenance or IT teams for office equipment and facility needs.
Support for Non-Profit Activities:
- Assist in the preparation of materials for events, meetings, or outreach initiatives.
- Provide support for fundraising or community engagement projects as needed.
- Experience: Previous experience in a receptionist or administrative role is preferred.
