Eight Under Par (Pawnshop Operator), Inc. is seeking a Fleet Administrator to monitor daily vehicle usage, coordinate preventive maintenance, and ensure compliance with registrations, insurance, and permits.
The role includes driver supervision, incident handling, and support for procurement and disposal of vehicles. Qualified candidates have at least 1 year of fleet documentation experience and a Bachelor's degree preferred.
Vehicle Fleet Monitoring and Management. Track and manage the daily usage and location of all company vehicles. Ensure optimal vehicle allocation and utilization to support operational efficiency. Monitor vehicle performance, mileage, fuel consumption, and operating conditions.
Maintenance Coordination. Schedule and coordinate regular preventive maintenance and repairs. Maintain accurate service history records for each vehicle.
Documentation and Compliance. Ensure all vehicle documents are up to date, including LTO registration, insurances, and other related permits. Keep thorough records of vehicle acquisitions, assignments, incidents, and disposals.
Insurance and Incident Management. Process vehicle insurance renewals, claims, and coordination with insurance providers. Assist in incident reporting and documentation in case of accidents, including, driver statements, and police reports. Follow up on claims and ensure repairs are authorized and completed efficiently.
Driver Supervision and Performance Monitoring. Keep records of driver assignments, licenses, certifications, and training. Address driver concerns, violations, or performance issues memos in coordination with HR or fleet management.
Vehicle Acquisition and Disposal. Assist in the procurement of new vehicles according to company standards and operational needs. Coordinate the disposal or sale of old or unserviceable vehicles following company policy. Update the asset registry and notify relevant departments of changes in fleet inventory. Secure any relevant documents with regards to vehicle disposal.
Qualifications:
Education: Bachelor's degree in a related field preferred.
Experience: Must have at least one (1) year of relevant experience in documentation, preferably related to fleet management.
Knowledge (knowledgeable in the following): Managing handling and organizing vehicle records, registrations, insurance documents, maintenance logs, and other related administrative tasks.
Skills: Excellent communication and interpersonal skills, strong problem-solving and decision-making abilities, with experience in risk assessment, regulatory compliance, and organization.
