Toyota Mobility Solutions Philippines, Inc. is seeking a proactive and detail-oriented Fleet Operations and Administration Associate to support Total Fleet Management and Asset Management operations. In this role, you will coordinate client fleet requirements, monitor vehicle operations, and work closely with internal teams and partners to ensure efficient delivery of mobility services.
You will assist in managing daily fleet administration, coordinating with service providers, monitoring vehicle performance and documentation, and preparing operational reports. The role also supports system monitoring through Fleet360 and KINTO Cloud while contributing to process improvements and operational efficiency.
Responsibilities
- Handle daily fleet administration tasks, including gathering, executing, monitoring, and coordinating client requests with internal teams and third-party providers.
- Monitor and facilitate LTO-related requirements such as vehicle registration renewal and transfer of ownership.
- Coordinate Preventive Maintenance Services (PMS) and vehicle repairs with dealerships and service partners.
- Monitor and coordinate insurance policies, including CTPL and comprehensive coverage renewals and claims processing.
- Arrange roadside assistance support with partner providers when necessary.
- Prepare and analyze Monthly Performance Reports (MPR) and present operational insights to clients.
- Utilize Fleet360 and KINTO Cloud systems to generate operational reports and analyze fleet data.
- Oversee driver dispatching and vehicle monitoring, including coordination of motor pool operations.
- Prepare reports and participate in meetings with clients and internal teams to discuss fleet operations and performance.
- Support Operation Kaizen initiatives by identifying and documenting process improvements.
- Maintain organized file management and documentation for fleet-related records and operational requirements.
Requirements
- Bachelor’s degree in Business, Engineering, or any related field.

- Strong analytical and problem-solving skills.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
- Good communication and coordination skills.
- Organized, detail-oriented, and able to manage multiple operational tasks.
- Ability to work with cross-functional teams, partners, and clients.
Relevant Skills
- Customer orientation and service coordination.
- Knowledge of vehicle operations, including maintenance, repairs, insurance, and registration processes.
- Project management and reporting capability.
- Basic telematics and fleet monitoring knowledge (advantage).
- Ability to identify cost reduction opportunities and support operational improvements.
- Experience or interest in mobility services, fleet management, automotive, or supply chain operations is an advantage.
