Job summary

The role involves estimating job durations, rescheduling as priorities shift, keeping schedules tidy, and liaising with technicians and customers to confirm appointments; strong organisation and communication are essential.

Qualifications

• Experience in hands-on fire services/fire protection, or proven job scheduling/dispatch experience in a trades or field-service environment (non-negotiable).
• Strong organisational skills to manage a busy schedule across multiple technicians and jobs.
• Strong communication when liaising with technicians, customers and management regarding appointments and changes.
• Experience using job management, scheduling, CRM, or field-service software; ability to learn Uptick.
• Strong attention to detail in maintaining accurate job records.
• Ability to identify scheduling conflicts and communicate them to management.
• Excellent multitasking, time-management and problem-solving in a fast-paced environment.
• Experience providing administrative and operational support to management and field teams.
• Professional, confident communication with a customer-service focus

Responsibilities

• Job Scheduling & Coordination (Primary Focus).
• Book and schedule jobs for the field team within Uptick.
• Allocate jobs to staff based on skill set, experience level and location.
• Estimate realistic job durations to build an efficient schedule.
• Reschedule and rearrange jobs as priorities shift.
• Keep technicians' schedules organised and minimise gaps and travel.
• Liaise with technicians and customers to confirm appointment times and changes.
• Maintain accurate job and scheduling records within Uptick.
• Communicate scheduling conflicts or capacity issues to management.
