Job description

Role Description
  • Build relationships and trust with key senior executives and communicate key recommendations on real estate and facilities strategies, investments, plans, and programs
  • Develop and manage internal SLA’s documenting service needs and performance requirements
  • Provide feedback on third party performance and ensure all complaints and concerns from employees are managed and closed timely
  • Develop process to monitor, address, and track employee feedback
  • Responsible in managing a team of Maintenance technicians and 3rd party facilities service provider.
  • Ensure all office supplies, equipment, furniture, etc. are maintained and stored in a clean and safe environment
  • Ensure suppliers provide adequate services and work within financial and quality standards
  • Manage purchasing and procurement orders relating to office equipment, furniture, supplies, services, general stationery, food provisions and refreshments, etc.
  • Negotiate and recommend execution of contracts for purchase of supplies, provisions, services and equipment
  • Coordinate with the local vendors for facilities management services: cleaning, maintenance, stationery, food and beverages, refurbishment, etc.
  • Maintain a stable work environment by ensuring all maintenance on critical support equipment is completed and equipment is working at expected quality and capacity
  • Plan facilities organizational structure to accommodate growth and change in priorities
  • Negotiate contracts with vendors and maintains vendor relationship
  • Ensure projects meet specifications and budget
  • May act as liaison to leasing and property management organizations and planning commissions
  • Ensure adequate facilities, equipment and furnishings are available and properly maintained as well as necessary licenses and permits are obtained
  • May oversee physical security function at assigned location(s) to provide a safe work environment while protecting company and client assets
  • Research costs for various projects including labour and materials; reports findings to senior management for approval
  • Ensure inspections are conducted to verify facility is in safe operating condition and to correct any issues found
  • Oversee and performs work in accordance with local and national building and maintenance codes and must stay up-to-date on changes to these codes
  • Facilities planning/overseeing construction, re-modelling, renovation and facilities improvement projects involving space allocation and/or changes
  • May manage/oversee Facilities Security (People/Facilities)
  • Manage and maintain records with regards to activities, services, repairs
  • Coordinate and execute special events for the site and initiate continuous improvements at the areas of responsibility without impacting quality or increasing cost
  • Create and manage the energy conservation program and sustainability program across the portfolio
  • Other related duties assigned as needed
