Elev8 Holdings, Inc. in Makati seeks a Facilities and Admin Officer to oversee day-to-day office operations, building maintenance, and safety across locations.
You will coordinate vendors, manage supplies, and support events to ensure a clean, secure, and efficient workplace. The role requires 2–4 years in facilities or admin services; strong leadership, planning, and communication skills; and proficiency with MS Office and Google Workspace.
The Facilities and Admin Officer is responsible for overseeing day-to-day office administrative operations, building facilities maintenance, property management, and office safety. This role ensures a clean, safe, efficient, and fully functional work environment across company locations while managing vendor relationships, office supplies inventory, utility upkeep, and administrative support services to enable smooth daily business activities.
1. Facilities & Building Management
Oversee routine maintenance, repairs, and upkeep of office premises, equipment, furniture, and building utility systems (air conditioning, electrical, plumbing, safety systems).
Coordinate directly with building administration, property managers, and external service providers for repairs, preventive maintenance, and building compliances.
Conduct regular office inspections to ensure all facilities, workstations, meeting rooms, and common areas are clean, safe, and fully operational.
Address and resolve facility-related concerns, emergency breakdowns, or service disruptions promptly.
2. Administrative & General Support Services
Manage office supply inventory, monitoring stock levels and processing requisitions for office supplies, pantry needs, and operational materials.
Supervise janitorial, security, and office maintenance personnel to ensure high standards of cleanliness, security, and service quality.
Coordinate mail distribution, messenger dispatching, document courier services, and internal logistics support.
Assist in organizing company events, town halls, meetings, and visitor/client accommodations.
3. Vendor & Service Provider Management
Source, evaluate, and negotiate with external vendors, contractors, and service providers for facility repairs, office supplies, and administrative contracts.
Monitor vendor service delivery to ensure compliance with agreed timelines, quality standards, and budget allocations.
Review and process vendor billings, service invoices, and payment requests in coordination with the Finance and Purchasing departments.
4. Safety, Security, & Compliance
Ensure workplace compliance with health, safety, fire, and sanitation regulations, working closely with building administration for fire drills and safety audits.
Assist in maintaining workplace emergency preparedness plans, first aid supplies, and safety equipment (fire extinguishers, emergency lights, CCTV monitoring).
Ensure proper key management, access card issuance, and office security protocols for employees and guests.
5. Corporate Standards & Administration
Skills Development Accountability: Review personal performance results and identify areas for skill improvement. Take ownership of self-development actions to address identified skill gaps. Apply learned skills to daily work and demonstrate improvement in productivity, quality, and safety. Seek guidance or clarification when performance gaps or skill limitations are identified.
Code of Ethics and Code of Conduct: Maintain a thorough understanding of, and ensure full compliance and adherence with, all provisions of the Company’s Code of Ethics and Code of Conduct, applying them consistently in daily work activities.
Quality Management: Follow QMS documentation and records guidelines accurately. Assist in internal and external audits to ensure departmental compliance with operational and administrative standards.
Safety: Lead by example in following and enforcing all workplace safety policies, procedures, and regulatory requirements. Report hazards, unsafe conditions, and incidents immediately to proper authorities.
Data Privacy: Handle sensitive administrative, vendor, and company records securely and in compliance with data privacy policies and laws.
Others: Perform other administrative duties that may be assigned from time to time.
Technical Knowledge
Practical knowledge of office facilities management, building maintenance, and property administrative operations.
Familiarity with vendor management, procurement workflows, and basic contract negotiation.
Understanding of workplace health and safety protocols (DOLE-OSH / BFP regulations) and emergency management procedures.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace.

Job Requirements
Education: Bachelor’s degree in Business Administration, Facilities Management, Industrial Engineering, Hotel and Restaurant Management, or any related field.
Experience: 2 to 4 years of solid experience in facilities management, administrative support, or general services operations.
