This position provides executive-level administrative and secretarial support. Key responsibilities include managing office communications, coordinating logistics for visitors, and overseeing complex scheduling and meeting arrangements.
Primary Responsibilities:
- Correspondence Management: Manage all outgoing or incoming correspondence including e-mail, letters, packages etc.
- Calendar Coordination: Manage the department’s schedule, including the organization of meetings and appointments.
- Travel Logistics: Coordinate comprehensive travel itineraries, including flights, lodging, and ground transportation for executives, staff, and external consultants.
- Document Production: Utilize MS Office (Word, Excel, PowerPoint) to draft memos, reports, and presentations as directed.
- Ad-hoc Support: Execute additional tasks and special projects as assigned by leadership.
- Manage confidential documents ensuring they remain secure
- Manage office supplies and interact with suppliers
- Perform research and prepare presentations and reports about the results
Qualifications
- Bachelor’s degree with at least 1 year of experience of working on a Executive Secretary or other related position
- High proficiency in Microsoft Office Suite.
- Strong verbal and written English communication skills.
- Proven track record of balancing multiple projects simultaneously while maintaining high standards in a high‑pressure environment.
- Proven ability to build professional relationships with all levels of management.
- Excellent organizational skills and a professional demeanor.
- Have knowledge in editing pictures and videos using Canva or other editing apps
- Mobility: 100% willingness to travelfor client visits and collection purposes.
