Advanced Outsourcing and Business Services Inc. is seeking an Executive & Family Office Assistant to work closely with the Chairman.
This role provides high-level executive support while coordinating personal, family, property, lifestyle, and special projects, becoming a trusted partner in daily priorities and long-term initiatives. The role involves calendar management, travel planning, preparing reports, and coordinating sensitive matters with discretion.
We are looking for an Executive & Family Office Assistant to work closely with the Chairman. This role provides high-level executive support while also coordinating personal, family, property, lifestyle, and special projects. The successful candidate will become a trusted partner to the Chairman, providing support across executive priorities, project coordination, personal matters, and day-to-day details. No two days will be exactly the same.
Provide high-level administrative and organizational support to the Chairman, managing calendars, appointments, meetings, schedules, and priorities
Prepare correspondence, presentations, reports, meeting materials, and confidential documents
Conduct research and prepare concise summaries, recommendations, and briefing materials
Track action items and ensure important commitments and follow-ups are completed
Anticipate the Chairman's needs and proactively address issues before they become problems
Coordinate personal, family, household, and lifestyle-related matters as assigned
Coordinate property improvement, renovation, maintenance, and special projects
Liaise with architects, interior designers, contractors, suppliers, consultants, and other service providers
Arrange domestic and international travel for the Chairman and family, coordinating flights, accommodations, transportation, itineraries, and reservations
Handle confidential personal, family, business, and financial information with the highest level of discretion
Bachelor's degree in Business Administration, Management, Psychology, Communications, Hospitality Management, or a related field
Ideally 8+ years of experience as an Executive Assistant, Personal Assistant, Family Office professional, or in a similar high-trust support role
Experience supporting a senior executive, business owner, Chairman, CEO, or high-net-worth individual is highly preferred
Strong experience in executive administration, coordination, and project management
Excellent written and verbal communication skills
Strong proficiency in Microsoft Office and Google Workspace
Excellent organizational and time-management skills
Strong attention to detail and follow-through
Ability to handle confidential information with maturity and discretion
Willing to stay in La Union for several weeks at a time when required by projects, with free accommodation provided
Direct exposure to and collaboration with the Chairman
