Funtomato Consultancy Inc. seeks an experienced Executive Assistant (Mandarin bilingual) to manage the CEO's schedule, travel, and communications.
You will coordinate executive meetings, prepare materials, and support cross-department initiatives while maintaining confidentiality and high professionalism. You will serve as a liaison to internal teams, investors, and partners, and help prepare leadership presentations and strategic documents with accuracy and discretion.
Oversee the CEO's daily schedule, including appointments, meetings, travel plans, and priority tasks.
Organize executive meetings by preparing agendas, documenting key discussions, and following up on assigned action items.
Serve as a key communication link between the CEO, internal teams, business partners, and other stakeholders.
Develop and organize executive-level presentations, reports, proposals, and materials for leadership or board meetings.
Assist with strategic and cross-departmental initiatives by coordinating deliverables, timelines, and follow-ups.
Maintain strict confidentiality when handling sensitive business, financial, personnel, and executive information.
Screen and prioritize requests, communications, and other matters requiring the CEO's attention.
Arrange local and international business trips, including flights, accommodations, transportation, and detailed itineraries.
Provide logistical and administrative support for meetings involving investors, business partners, government representatives, and senior executives.
Assist in planning corporate events, leadership gatherings, executive meetings, and off-site activities.
Conduct research, gather relevant business information, and perform basic market analysis to support executive planning and decision-making.
Identify opportunities to improve administrative systems, executive workflows, documentation, and coordination processes.
Bachelor's degree in Business Administration, Management, Communications, or a related discipline.
At least 5 years of experience supporting CEOs, founders, C-level executives, or senior management.
Strong background in executive scheduling, travel arrangements, administrative coordination, and business operations.
Excellent English and Chinese communication skills, both written and verbal.
Highly organized with strong attention to detail and the ability to maintain accuracy across multiple tasks.
Demonstrated ability to work under pressure, manage shifting priorities, and meet deadlines in a fast-paced environment.
High level of integrity, discretion, confidentiality, and professionalism.
Strong judgment and problem-solving skills, with the ability to anticipate requirements and take initiative without constant supervision.
Proficient in Microsoft Office, Google Workspace, presentation tools, and workplace collaboration platforms.
Experience creating executive presentations, management reports, business proposals, or similar leadership materials is highly preferred.
