The Role
The Executive Administrative Manager serves as the operational backbone of the Executive Office, providing high-level administrative and coordination support to the Managing Director and President AutoGlobal Group. This role ensures seamless execution of executive schedules, communications, and cross‑departmental follow‑through – enabling Executive Office to focus on strategic priorities. The ideal candidate is organized, discreet and proactive with strong command of digital planning tools and the ability to manage competing priorities in a fast‑paced environment.
WHAT YOU'LL DO
- Executive Calendar Management – Manage and optimize the calendars of the MD and President, including scheduling, prioritization, and conflict resolution.
- Travel & Logistics – Plan and coordinate all travel logistics — domestic and international — including itineraries, accommodations, and ground transport.
- Meeting Coordination – Prepare meeting agendas, pre‑read materials, and track post‑meeting action items to ensure executive follow‑through.
- Cross‑Department Coordination – Serve as the primary liaison between the Executive Office and internal departments, ensuring directives are communicated and acted upon.
- Communications & Documentation – Draft, review, and manage executive correspondence, memos, and confidential documents on behalf of the MD and President.
- Planning & Operating Rhythm – Own the executive operating rhythm — weekly reviews, monthly planning cycles, and deadline tracking across departments.
- Digital Tool Management – Implement and manage digital tools (MS Teams, Outlook, project management platforms) to optimize scheduling and task tracking.
- Administrative Associate Management – Manage Administrative Associate (when applicable) and maintain standards for the Executive Office.
- Confidentiality – Handle sensitive information with the highest level of discretion and professionalism.
WHAT WE'RE LOOKING FOR
Minimum Qualifications
- Bachelor's degree in Business Administration, Communications, Management, or related field.
- Post‑graduate diploma or certification in Office Management or Executive Administration.
- 5–8 years of progressive administrative experience, with at least 3 years supporting C‑suite or senior leadership.
- Prior exposure to dual‑reporting or multi‑principal executive support is a strong advantage.
- Experience in automotive, distribution, retail, or similar industry is preferred but not required.
- Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).
- Hands‑on experience with project management or productivity tools (e.g., Asana, Notion, Trello).
- Familiarity with ERP systems (NetSuite experience is a plus).
- Strong written communication – capable of drafting executive‑level correspondence independently.
- Exceptional organizational skills with a strong sense of urgency and follow‑through.
- High discretion and integrity handling confidential business and executive information.
- Proactive problem‑solver – anticipates needs before they become issues.
- Excellent interpersonal skills; able to coordinate across departments and with external stakeholders.
- Composure under pressure with the ability to manage competing priorities simultaneously.
- Adaptable and willing to flex responsibilities based on operational demands.
