AutoGlobal Group is seeking an Executive Administrative Manager to serve as the operational backbone of the Executive Office, providing high-level administrative support to the Managing Director and President. You will manage calendars, coordinate meetings and travel, track action items, and drive follow-through across departments.
This role goes beyond traditional administration: you will be a trusted partner to senior leadership with visibility across the organization, leveraging Microsoft 365
The Executive Administrative Manager serves as the operational backbone of the Executive Office, providing high-level administrative and coordination support to the Managing Director and President of AutoGlobal Group. You will help ensure that executive priorities move forward smoothly by managing schedules, coordinating meetings and travel, tracking action items, and driving follow-through across departments. This is more than a traditional administrative role — you will be a key partner to senior leadership and will have visibility across the organization.
Manage and optimize the calendars of the MD and President, prioritize meetings, resolve scheduling conflicts, and protect executive time
Coordinate domestic and international travel, arrange itineraries, accommodations, transportation, and other logistics
Prepare agendas and pre-read materials, document key action items and follow up with responsible departments, and ensure commitments are completed on time
Act as the primary liaison between the Executive Office and internal departments, communicate executive directives and monitor follow-through
Draft and review executive correspondence, reports, memos, and confidential documents, ensuring communications are professional, accurate, and appropriate for senior leadership
Manage weekly reviews, monthly planning cycles, deadlines, and follow-ups, and maintain visibility on important initiatives and commitments
Maximize tools such as Microsoft Teams, Outlook, Asana, Notion, Trello, or similar platforms to improve scheduling, task tracking, and executive workflows
Manage and guide the Administrative Associate when applicable and maintain high standards within the Executive Office
Handle sensitive executive and business information with the highest level of discretion and integrity
Bachelor's degree in Business Administration, Communications, Management, or a related field
5–8 years of progressive administrative experience, including at least 3 years supporting C-suite or senior executives
Experience supporting multiple executives/principals is a strong advantage
Advanced proficiency in Microsoft 365: Outlook, Teams, Word, Excel, PowerPoint
Hands-on experience with project management/productivity tools such as Asana, Notion, Trello, or similar
Familiarity with ERP systems; NetSuite experience is an advantage
Excellent written and verbal communication skills
Strong ability to draft executive-level correspondence independently
Proactive, highly organized, results-oriented, trustworthy, discreet, excellent with people, calm under pressure, and adaptable
