Job Overview
We are looking for an organized, proactive, and hands-on Events Project Manager who will oversee the planning and execution of company and client events from pre-production through event day and post-event completion.
The role will serve as the main coordinator among internal teams, clients, suppliers, talents, venues, and other project stakeholders. The ideal candidate should be comfortable working in a fast-paced environment, managing multiple moving parts, and being onsite during events.
Key Responsibilities
- Lead the end-to-end planning, coordination, and execution of events and activations.
- Develop project timelines, event schedules, production plans, checklists, and manpower requirements.
- Coordinate closely with clients to understand event requirements, deliverables, timelines, and expectations.
- Manage and coordinate with suppliers, venues, production teams, talents, KOLs/influencers, contractors, and other external partners.
- Conduct ocular visits and assist with venue assessment, ingress, setup, rehearsals, event proper, and egress.
- Assign responsibilities to event staff and ensure all teams are properly briefed before execution.
- Monitor project progress and ensure all deliverables are completed according to the agreed timeline.
- Coordinate event logistics, including equipment, transportation, manpower, materials, meals, accommodation, and other operational requirements.
- Assist in sourcing and evaluating suppliers and obtaining quotations when needed.
- Monitor project/event budgets and coordinate expenses, purchase requests, reimbursements, and supplier payments with the Admin and Finance teams.
- Identify potential operational issues and prepare contingency plans before the event.
- Handle urgent concerns and make appropriate decisions during live events.
- Ensure client requirements and brand guidelines are properly implemented onsite.
- Maintain organized project documentation, including contracts, quotations, attendance/manpower records, receipts, and event files.
- Prepare and submit post-event reports, documentation, and project completion reports.
- Conduct post-event evaluation and provide recommendations for improving future projects.
- Perform other event and project-related responsibilities as assigned by management.
Qualifications
- Bachelor's degree in Events Management, Marketing, Communications, Business Administration, Hospitality Management, or a related field.
- Preferably with 2-3 years of experience in events, project management, activations, production, or a similar role.
- Experience handling corporate events, brand activations, automotive events, esports/gaming events, or large-scale productions is an advantage.
- Strong project management, organization, and time-management skills.
- Able to manage multiple stakeholders, suppliers, and deliverables simultaneously.
- Strong communication and negotiation skills.
- Comfortable working directly with clients and management.
- Able to work independently and make decisions during event execution.
- Willing to work onsite, on weekends, holidays, or extended hours when required by event schedules.
- Willing to travel to event venues and project locations as needed.
