HAVE WHAT IT TAKES TO BE OUR DOCUMENTATION ASSOCIATE?
- 1–2 years of relevant experience in process mapping, process documentation, or business process improvement.
- Bachelor's Degree in Accounting, Finance, Business Administration, or a related field.
- Experience supporting finance or operational processes is an advantage.
- Proficient in Microsoft Office Suite, particularly Excel, Word, Outlook, PowerPoint, and Power BI.
- Strong attention to detail and ability to create clear, accurate, and well-organized process documentation.
- Good organizational, analytical, and research skills.
- Strong verbal and written communication skills with the ability to work effectively with different teams.
- Ability to manage confidential information with professionalism and discretion.
DAY IN THE LIFE OF A DOCUMENTATION ASSOCIATE (HYBRID WORK EDITION!)
Process Documentation & SOP Development
- Participate in project meetings to understand departmental workflows and finance-related business processes.
- Develop process maps that clearly illustrate key activities, decision points, and process flows.
- Prepare and maintain Standard Operating Procedures (SOPs), documenting step‑by‑step processes, roles and responsibilities, and operational guidelines.
- Ensure all documentation is properly formatted, proofread, and updated based on stakeholder feedback.
Review & Validation
- Coordinate with process owners and cross‑functional teams to validate process maps and SOPs for accuracy and completeness.
- Facilitate document reviews with department heads and designated approvers, incorporating revisions as needed.
- Finalize and secure approval for SOPs in accordance with established documentation standards.
Document Control & Compliance
- Maintain a centralized repository of approved SOPs and process documents, ensuring controlled access for authorized users.
- Track document versions, revisions, approvals, and review schedules to ensure documentation remains current and compliant.
- Monitor process changes and update documentation through revalidation, version control, and approval workflows.
Continuous Improvement
- Support process improvement initiatives by identifying documentation gaps and recommending updates to enhance operational efficiency and compliance.
- Perform other duties related to process documentation and continuous improvement as assigned by the immediate supervisor.
