HON-KWANG ELECTRIC (PHILIPPINES) INC is seeking a document control professional to manage controlled documents and records within the EQMS, ensuring reviews, approvals, issuance, and protection in line with ISO requirements.
You will maintain master lists, monitor revisions, coordinate with departments, and support internal and external audits. The ideal candidate graduates with a 4-year degree, is detail‑oriented, proficient in MS Office, and familiar with ISO 9001/14001/45001 standards.
Responsible for the effective control, maintenance, issuance, distribution, retrieval, and retention of controlled documents and records within the company's Electronic Quality Management System (EQMS). Ensures that documented information is properly reviewed, approved, identified, updated, accessible, and protected from unintended use in accordance with company procedures and applicable ISO management system requirements.
Manage and maintain controlled documents and records in the EQMS
Prepare and maintain the Master List of Controlled Documents and Records
Ensure documents are properly reviewed, approved, identified, issued, and distributed to authorized personnel
Monitor document revisions, version numbers, and effective dates
Ensure obsolete or superseded documents are properly identified, withdrawn, and controlled to prevent unintended use
Maintain records of document issuance, revision, distribution, and retrieval
Coordinate with concerned departments regarding document creation, revision, review, and approval
Ensure controlled forms and records are available at the point of use
Maintain document and record retention and disposal requirements in accordance with established procedures
Support internal and external audits by providing required controlled documents and records
Graduate of any 4-year course, preferably in Business Administration, Industrial Engineering, Quality Management, or a related field
Experience in document control, quality management, or ISO documentation is an advantage
Computer literate and proficient in Microsoft Office applications
Detail-oriented, organized, and capable of maintaining accurate records
Able to coordinate effectively with different departments
Knowledge or training in ISO 9001, ISO 14001, and ISO 45001 is an advantage
Knowledge of ISO 9001:2015, ISO 14001:2015, and ISO 45001:2018 standards, particularly requirements related to documented information, document control, record control, revision, approval, distribution, retention, and protection of records
