About the role

The Customer Care Associate serves as the primary point of contact for patients, clients, and visitors of the diagnostic clinic. The position is responsible for delivering excellent customer service by providing a welcoming, professional, and patient-centered experience from initial inquiry and registration through the completion of the patient's clinic visit. The role involves receiving and assisting patients, managing appointments, processing patient registration, coordinating diagnostic procedures, handling inquiries, and performing front desk administrative duties. The Customer Care Associate ensures accurate patient information, efficient patient flow, proper handling of concerns, and compliance with clinic policies, confidentiality requirements, and applicable healthcare regulations in the Philippines.

Key responsibilities

• Greet and welcome patients, clients, and visitors in a courteous, friendly, and professional manner
• Attend to walk-in patients and provide assistance regarding available diagnostic services
• Respond to telephone calls, text messages, emails, and other customer inquiries
• Provide accurate information regarding clinic services, operating hours, requirements, and preparation instructions based on approved clinic guidelines
• Assist patients requiring special assistance
• Maintain a positive and professional attitude when dealing with patients and their companions
• Facilitate patient registration and ensure accurate encoding of personal and relevant medical information
• Verify patient details, identification documents, physician's requests, and other necessary requirements
• Create, update, and maintain patient records in the clinic's information management system
• Schedule, confirm, reschedule, and cancel patient appointments in accordance with clinic procedures

About you

• Handle patient information with strict confidentiality and prevent unauthorized access or disclosure
• Coordinate with laboratory personnel, radiology staff, medical technologists, sonologists, and other healthcare professionals regarding patient appointments and service availability
• Provide patients with approved preparation instructions for laboratory tests, imaging procedures, and other diagnostic examinations
• Inform patients of estimated waiting times and assist in managing patient queues
• Monitor patient flow and coordinate with concerned personnel to minimize delays
• Ensure that patients are properly endorsed to the appropriate service area
