WESTERN SHIPPING SOUTHEAST ASIA INC in Manila is seeking an experienced Crewing Administrative Officer to manage crew documentation, KPI reporting, and regulatory compliance across vessels.

You will maintain HRMS records, upload documents in Shipmate and HANZA systems, prepare quarterly and yearly reports, and support Manning offices and Fleet personnel across regions to ensure timely, accurate crew data and audit readiness.

• Monitored on-board crew documentation to ensure validity and regulatory compliance, preparing and distributing monthly compliance reports, and escalating to the Fleet Personnel Officer and Fleet Personnel Manager (FPM) as needed.
• Maintained accurate records of onboard Drug and Alcohol testing results per vessel and crew member, ensuring all data was properly documented and consistently updated in the Shipmate
• Prepared and consolidated quarterly and yearly KPI appraisal reports for all onboard tanker and LPG crew members.
• Responsible for uploading crew promotion task lists into Shipmate.
• Responsible for uploading completed and signed senior officers’ handover notes into Shipmate.
• Responsible for checking all documents in Shipmate for TMSA audits.
• Created new employee profiles for WCSMI crew in the Shipmate and generated OLP and SMS login IDs as required.
• Oversaw the uploading of all crew documents from HANZA (European crew) into Shipmate.
• Responsible for updating, following up, and ensuring timely completion of all pending HRMS forms from respective departments and managers.
• Assisted manning offices (WCMSI, WSSAI, and HANZA) whenever necessary.
• Provide ongoing support to the Fleet Personnel Officer in Manila, Crewing Executive in Singapore and the Fleet Manager Personnel for various administrative and operational tasks.
