Job summary

Virtual Innovations is seeking an experienced Payroll Specialist to manage end-to-end semi-monthly payroll, generate journal entries, and handle onboarding and benefits. You will serve as the primary payroll contact across the organization and collaborate with finance and HR teams to ensure accuracy and compliance.

The ideal candidate has 3–5 years of US payroll experience across multiple states, strong knowledge of tax regulations, and proven ability to maintain confidential records.

Qualifications

• 3–5 years of US payroll processing experience for multi-state organizations.
• Familiar with federal, state, local taxes and wage/hour rules.
• Experience creating payroll journal entries with accounting teams.
• Experience onboarding and benefits programs.
• High attention to detail and confidentiality.
• Excellent written and verbal communication.
• Experience payroll in construction/field services preferred.
• Proficient with HRIS/payroll platforms such as ADP, Gusto, Paylocity, or QuickBooks Payroll.
• Knowledge of ACA, FMLA, and US labor law compliance preferred.

Responsibilities

• Process semi-monthly payroll including deductions, benefits, reimbursements, and commissions.
• Maintain multi-state compliance including tax registrations, SUI, and reciprocity rules.
• Coordinate payroll adjustments for new hires, terminations, promotions, and changes.
• Prepare and post payroll journal entries for the finance team after each cycle.
• Lead year-end payroll tasks, including W-2 distribution and tax reconciliations.
• Manage onboarding: I-9 verification, account setup, and system access.
• Administer benefits enrollment and life event changes.
• Liaise with benefits vendors and insurance brokers.
• Maintain centralized HR files and records.
• Resolve payroll discrepancies and ad-hoc inquiries.
