We are seeking a proactive, highly organized Intermediate Client Service Administrator to manage administrative operations and client workflow for an Australian accounting practice. You will oversee database management, client onboarding/offboarding, job flow tracking, ASIC corporate compliance, tax lodgment administration, and billing support.
Your Impact
- Job Flow & Deadline Management: Monitor job workflows for repetitive lodgments (BAS/IAS, Financials, Tax Summaries), allocate jobs to accountants, download ATO portal information, follow up on missing information, and track deadlines to avoid bottlenecks.
- Taxation & Compliance Administration: Request and file client documentation, send income tax returns and activity statements for client signature, monitor digital signatures, manage lodgments, and apply for ATO extensions as required.
- ASIC & Entity Maintenance: Coordinate new entity establishments with external legal/professional bodies, compile documentation for client signatures, and update ATO, ASIC, and Xero Practice Manager (XPM) records for corporate changes (directors, shareholders, unit holders).
- Client Onboarding & Practice Support: Facilitate end-to-end client onboarding and offboarding procedures, maintain database integrity in practice software, assist Client Managers with draft billing/budget reviews, and manage ATO agent portal queries.
What You Bring
- The Experience: 2+ years of administrative experience within an Australian accounting practice or professional services firm.
- Software Competency: Practical familiarity with cloud accounting and practice management software, including Xero, Xero Practice Manager (XPM), the ATO Agent Portal, and ASIC corporate compliance portals.
- Corporate & Tax Compliance Knowledge: Solid understanding of Australian administrative compliance, including BAS/IAS cycles, income tax return signing protocols, ASIC annual reviews, and entity setup workflows.
- Core Competencies: Meticulous attention to detail, exceptional organizational and multi-tasking skills under deadline pressure, proactive problem-solving ability, and excellent written and verbal English communication.
