We are seeking a highly organized, professional Client Services Coordinator to provide executive administrative support, tax administration, and corporate secretarial coordination for an Australian accounting practice. You will assist Partners with schedule management, oversee ATO lodgments and portal access, maintain client databases, handle debtor tracking, and execute corporate compliance tasks.
Executive & General Administrative Support: Provide administrative support to Partners-managing calendars, travel arrangements, correspondence, and meeting preparation; handle incoming client calls, direct inquiries, and reconcile monthly credit card expenses.
Tax Administration & ATO Liaison: Drive tax lodgment workflows, manage the Client Portal, process ATO registrations, handle myGov setups/access permissions, review tax assessments, and liaise directly with the ATO to resolve client queries.
Corporate Secretarial & System Management: Utilize NowInfinity to verify company records and execute corporate changes; maintain client details across APS, Audit Shield, and ATO agent databases.
Client Onboarding & Debtor Management: Execute end-to-end client onboarding and offboarding, issue engagement and ethical clearance letters, track outstanding debtor balances, and collate documentation for team engagements.
The Experience: 2+ years of experience in client services coordination, practice administration, or executive assistant roles within an Australian accounting or professional services environment.
Software Mastery: Hands-on proficiency with APS (Advanced Processing Solutions), NowInfinity, Audit Shield, and the ATO Agent Portal; familiarity with client portals and myGov integration workflows.
Compliance & Tax Admin Acumen: Solid understanding of Australian tax administration cycles, corporate secretarial procedures, ATO correspondence, and engagement letter standards.
Core Competencies: Meticulous attention to detail, exceptional organizational skills under deadline pressure, strong problem-solving ability, and superior written and verbal English communication.
