Job Summary
The Business Solutions Staff - Supply Chain Management (SCM) and Inventory is responsible for providing functional support, system administration assistance, and process coordination for SCM and Inventory applications. The role ensures that day-to-day supply chain and inventory processes are properly supported by the system, issues are promptly addressed, and business requirements are translated into effective system solutions.
Duties and Responsibilities
1. SCM and Inventory Support
- Provide day-to-day functional support for SCM and Inventory modules.
- Assist users in the proper execution of procurement, receiving, inventory, stock movement, and related supply chain transactions.
- Monitor and validate SCM and Inventory transactions to ensure accuracy and completeness.
- Assist in maintaining system configurations, setups, and reference data based on approved business requirements.
- Identify system or process issues and coordinate with the appropriate IT teams or vendors for resolution.
- Ensure that incidents and service requests are properly documented, tracked, and resolved within agreed timelines.
2. Inventory Management and Data Accuracy
- Support the monitoring of inventory balances, stock movements, receipts, transfers, adjustments, and other inventory transactions.
- Investigate discrepancies between physical inventory and system records and coordinate with process owners for resolution.
- Assist in validating inventory data and ensuring the accuracy and completeness of system transactions.
- Support inventory reconciliation activities and other data-cleanup initiatives.
- Help ensure that inventory processes comply with established company policies and controls.
3. Business Process Support
- Work with business users to understand operational concerns and determine appropriate system or process solutions.
- Document business requirements, process flows, issues, and proposed solutions.
- Assist in identifying opportunities to improve SCM and Inventory processes through better system utilization.
- Support the implementation of standardized processes across business units.
- Coordinate with process owners to ensure that system functionality supports actual business requirements.
4. System Enhancement and Project Support
- Participate in SCM and Inventory implementations, enhancements, upgrades, and system improvement initiatives.
- Assist in gathering and documenting business requirements.
- Prepare test scenarios and test scripts and participate in System Integration Testing (SIT) and User Acceptance Testing (UAT).
- Validate system changes and ensure that delivered solutions meet approved requirements.
- Support deployment activities, post-implementation validation, and issue resolution.
- Assist in preparing user guides, process documentation, and other project-related materials.
5. User Support and Training
- Provide functional assistance and guidance to SCM and Inventory users.
- Respond to user inquiries and provide appropriate resolution or escalation.
- Conduct or assist in user training and knowledge-sharing sessions.
- Develop and maintain user support materials, process guides, and frequently asked questions.
- Promote proper system usage and adherence to standard processes.
6. Vendor and IT Coordination
- Coordinate with IT teams and external vendors on SCM and Inventory-related incidents, defects, and enhancements.
- Provide functional details, business scenarios, and supporting information required for issue investigation.
- Participate in issue validation and testing of fixes provided by technical teams or vendors.
- Monitor open issues and follow up on pending actions until resolution.
7. Documentation and Continuous Improvement
- Maintain updated documentation of SCM and Inventory processes, system procedures, and functional requirements.
- Document system issues, resolutions, configuration changes, and lessons learned.
- Assist in identifying opportunities for process simplification, automation, and improved system utilization.
- Support continuous improvement initiatives within SCM and Inventory operations.
