Joy~Nostalg Group in Metro Manila is seeking a Bid Management Assistant to support the Bid Management Team in handling contractor bids, proposals, and related procurement activities for housing projects in the middle-income, economic, and socialized housing segments.
You will assist in preparing, organizing, and evaluating bid documents to ensure accurate, timely, and compliant bidding processes, and coordinate with contractors and internal teams across pre-bid and bid phases.
About the Role:
The Bid Management Assistant supports the Bid Management Team in handling contractor bids, proposals, and related procurement activities. This role assists in preparing, organizing, and evaluating bid documents to ensure accurate, timely, and compliant bidding processes for housing projects in the middle-income, economic, and socialized housing segments.
What you'll do:
Bid Management Support
Assist in reviewing contractors’ cost proposals and bid submissions for completeness and compliance with project requirements.
Prepare bid tabulations and organize contractor proposals for comparison and evaluation.
Assist in checking bid pricing, quantities, and supporting documents for accuracy.
Maintain confidentiality and proper handling of contractor bid and pricing information.
Assist in preparing bid evaluation summaries, contract documents, and other related reports.
Bid Coordination Support
Assist the Bid Management Head or Bid Manager during pre-bid clarification meetings, pre-award conferences, and contractor discussions.
Coordinate with accredited contractors and suppliers regarding bid requirements, clarifications, and submission of documents.
Follow up with contractors to ensure timely submission of bids and other required documents.
Support the team in completing bidding activities within established project timelines.
Coordination & Documentation
Coordinate with the Quantity Surveying and Design Teams in gathering project quantities, budget information, and design specifications needed for bidding.
Assist in ensuring proper documentation and compliance with company procurement policies and procedures.
Maintain and update records of bids, proposals, contracts, and awarded projects.
Organize and file bid-related documents for proper reference and audit purposes.
What we're looking for:
Education: Bachelor’s Degree in Civil Engineering, Architecture, or a related field.
Experience: Minimum of 1–2 years of experience in procurement, cost estimation, bid preparation, quantity take-off, documentation, or related work within a real estate developer, construction, or housing-related company.
Licensure: Licensed Civil Engineer is an advantage.
Technical Skills:
Basic knowledge of construction methods, housing development, and cost estimation.
Proficiency in MS Excel, Word, and PowerPoint.
Familiarity with bid documents, quantity take-offs, cost estimates, and procurement processes.
Knowledge of contract documentation and housing project requirements is an advantage.
