Job summary

MicroSourcing is seeking a Sales Support Officer for Eastwood/Libis, Quezon City. The role is hybrid, dayshift, full-time, on-site at the client site.

You will coordinate with vehicle dealerships, manage delivery reports, handle third-party fit-outs and paperwork, and support the In-life Services team with ad-hoc projects. Ideal candidates have fleet or automotive experience, strong document management skills, analytical accuracy, and excellent communication.

Qualifications

• Fleet or automotive experience in fleet management or dealership coordination.
• At least 1 year in a professional administration or customer service role with heavy document handling.
• Keen eye for detail with ability to process large workloads while maintaining data quality.
• Excellent oral and written communications to manage supplier relationships and updates to customers.
• Proven ability to plan and coordinate tasks under tight deadlines.

Responsibilities

• Coordinate with vehicle dealerships to confirm order acceptance and capture technical specs.
• Manage weekly delivery confirmation reports and update date changes in the Miles system.
• Facilitate third-party vehicle fit-outs and interstate transport, handling paperwork and invoices.
• Resolve delivery issues like early registrations or address changes for smooth handover.
• Process high volumes of automated task reports and internal incidents daily.
• Communicate with Accounts Payable to ensure timely supplier payment requests.
• Assist In-life Services team with ad-hoc tasks and project work as priorities shift.

Your Role

As a Sales Support Officer, you will:

• Coordinate with vehicle dealerships to confirm order acceptance and ensure all technical specifications are captured.
• Manage weekly delivery confirmation reports, updating date changes in the Miles system and notifying customers and sales teams of any delays.
• Facilitate third-party vehicle fit-outs and interstate transport by managing all required paperwork, registration forms, and invoices.
• Resolve delivery issues, such as early registrations or address changes, to ensure a seamless handover to the customer.
• Process high volumes of automated task reports and internal incidents daily to maintain workflow efficiency.
• Communicate with the Accounts Payable team to ensure supplier payment requests are handled accurately and on time.
• Assist the broader In-life Services team with ad-hoc tasks and project-based initiatives as priorities shift.
  
  

What You Need

Non-negotiables

• Fleet or Automotive Experience: Prior experience in fleet management or direct communication with automotive dealerships.
• Document Processing Proficiency: At least 1 year of experience in a professional administration or customer service role involving heavy document management.
• Analytical Accuracy: A keen eye for detail with the ability to process large workloads while maintaining high data quality.
• Communication Skills: Excellent oral and written skills to manage supplier relationships and provide clear updates to customers.
• Time Management: Proven ability to plan and coordinate tasks against strict delivery deadlines and under high-pressure conditions.
  
  

Preferred Skills/expertise

• Knowledge of state-specific vehicle registration requirements and third-party supplier management.
• Advanced analytical qualifications or experience in a data-heavy "workload management" environment.
• Experience using the Miles fleet management system or similar industry-specific software.
• Demonstrated ability to identify process gaps and assist in project-based efficiency improvements.
• Strong "Customer First" mindset with a focus on producing quality outcomes for the business and its clients.
