An Office Administrator responsible for overseeing office operations, including equipment management, inventory control, reception duties, office sanitation, and liaison with local government bodies and building management.
Oversee office equipment management: perform routine inspections of printers, surveillance cameras and access control systems; liaise with maintenance vendors for fault repairs to ensure stable operation
Coordinate with building management: report and track defects of premises and facilities; engage property management to resolve matters involving water, electricity, internet and common area amenities
Carry out inventory checks for office supplies and maintain proper records and archives; keep logs for the procurement and consumption of office supplies
Manage receipt and dispatch of couriers, letters and parcels for the corporate mailbox
Receive visitors, complete visitor registration and provide onsite guidance
Prepare for meetings: setup meeting rooms based on attendee headcount, arrange tea and beverages; procure and replenish supplies promptly as required
Take charge of day-to-day office cleaning; ensure cleanliness of all office articles and equipment; source and use suitable cleaning tools and chemicals in accordance with safety and tidiness standards
Liaise with local bodies including IRAS, ACRA, MOM and building management as needed; handle routine enquiries, document submissions, information updates and other related communications
Follow up on corporate filing obligations and keep abreast of local regulatory policies
Administer staff attendance and archive attendance records
Reside in Singapore; familiar with local government and administrative procedures
Positive working attitude, strong sense of responsibility, capable of working independently, and observe workplace health and safety rules
Able to work flexible hours when required; provide timely updates on work progress
Fluent in English and Chinese
Prior relevant administrative work experience in Singapore is preferred
