Job summary

Willis Towers Watson in Manila (hybrid) is seeking an experienced Executive Administrator to provide proactive support to Investments leaders, manage calendars, arrange travel, and prepare materials.

The role requires 7+ years in executive support, strong organizational and communication skills, and the ability to handle confidential information while coordinating across time zones and teams.

Qualifications

  • Bachelor's degree or equivalent work experience.
  • Minimum 7 years of executive administrative support experience.
  • Experience supporting senior leaders and managing complex responsibilities.
  • Strong organizational and time-management skills.
  • Proven calendar, travel, and expense processing capabilities.
  • Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
  • Experience with Teams and SharePoint; strong written and verbal communication.
  • Ability to handle confidential information with discretion.
  • Analytical, problem-solving, and proactive decision-making skills.
  • Excellent interpersonal and stakeholder management abilities.
  • Independent, adaptable, and capable of cross-functional coordination.

Responsibilities

  • Provide proactive administrative and executive support to Investments leaders.
  • Manage complex calendars and coordinate meetings across time zones.
  • Arrange domestic and international travel with detailed itineraries.
  • Process and monitor expense reports in line with policies.
  • Prepare and review presentations, reports, and meeting materials.
  • Coordinate leadership and team meetings, and other events.
  • Maintain records, notes, action trackers, and document repositories.
  • Serve as a point of contact for internal and external stakeholders.
  • Support follow-up actions, task tracking, and prioritization of activities.
  • Handle confidential information with discretion and professionalism.
  • Support project-related activities and milestone coordination.
  • Collaborate across teams to drive improvements and efficiency.

The Role

The focus of the role is to provide proactive administrative and executive support to Investments leaders and colleagues while maintaining a high level of professionalism, organization, and responsiveness. The successful candidate will be highly organized, resourceful, and capable of managing multiple priorities while building strong working relationships with stakeholders across the business.

Working knowledge and experience in administrative support activities including:

  • Managing complex calendars, coordinating meetings across multiple time zones, and resolving scheduling conflicts.
  • Coordinating domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Processing and monitoring expense reports and reimbursements in accordance with company policies and deadlines.
  • Preparing, formatting, and reviewing presentations, reports, business correspondence, and meeting materials.
  • Coordinating leadership meetings, team meetings, workshops, and other business events, including logistics and stakeholder communications.
  • Maintaining accurate records, meeting notes, action trackers, and document repositories.
  • Acting as a key point of contact for internal and external stakeholders, ensuring timely and professional communication.
  • Supporting leaders with follow-up actions, task tracking, and prioritization of key business activities.
  • Handling sensitive and confidential information with discretion, professionalism, and sound judgment.
  • Supporting operational and project-related activities through coordination of actions, milestones, and deliverables.
  • Collaborating effectively with colleagues across different teams, functions, and locations to achieve business objectives.
  • Identifying opportunities to enhance administrative processes, improve efficiency, and support continuous improvement initiatives.
  • Delivering high-quality work while effectively managing multiple priorities and deadlines in a fast-paced environment.

Qualifications

The Requirements

  • Bachelor's degree in a relevant field or equivalent work experience.
  • Minimum of 7 years of experience providing executive administrative support in a corporate or professional services environment.
  • Demonstrated experience supporting senior leaders and managing complex administrative responsibilities.
  • Strong organizational and time management skills, with the ability to effectively prioritize competing demands in a fast-paced environment.
  • Proven experience managing complex calendars, travel arrangements, meeting coordination, and expense processing.
  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Strong working knowledge of Microsoft Teams, SharePoint, and other collaboration tools.
  • Excellent written and verbal communication skills, coupled with strong attention to detail and the ability to produce high-quality documents and presentations.
  • Proven ability to handle highly confidential and sensitive information with discretion, integrity, and professionalism.
  • Strong analytical, problem-solving, and proactive decision-making skills.
  • Exceptional interpersonal and stakeholder management skills, with the confidence to engage effectively with colleagues and leaders at all levels.
  • Highly adaptable, resourceful, and capable of working independently with minimal supervision while maintaining a high standard of accuracy and service.
  • Experience in project coordination or project management, including tracking deliverables, managing stakeholders, and supporting cross-functional initiatives, is preferred.
  • Strong business acumen with the ability to anticipate needs, prioritize competing demands, and contribute to operational effectiveness.
  • Proven ability to build and maintain effective relationships with stakeholders across all levels of the organization.
  • Amenable to working Australia shift (6:00 AM – 3:00 PM Manila time).
  • Able to work in a hybrid work arrangement.
