Private Advertiser is seeking an experienced Executive Assistant to support the Country Head in a fast-paced environment. You will manage calendars, coordinate high-level meetings, and prepare agendas, briefings, and executive summaries.

The role requires strong data analysis skills, impeccable organizational abilities, and a proactive approach to anticipate needs. On-site work in Quezon City / Pasig City with senior leadership collaboration.

Qualifications

  • 5+ years of experience as an Executive Assistant supporting a senior executive.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Highly proactive and able to anticipate needs.
  • Must have strong data analysis and reporting background; data-driven with the ability to understand and analyze complex data.
  • Strong written and verbal communication skills.
  • Comfortable working with senior leaders and managing multiple stakeholders.
  • Strong judgment and ability to handle confidential matters.
  • Excellent follow-through and ability to manage multiple priorities in a fast-paced environment.
  • Strong proficiency in Microsoft Office, Google Workspace, and collaboration tools.
  • Flexible and willing to work beyond standard hours; amenable to graveyard shift.
  • Amenable to work on-site. Office location is in Quezon City / Pasig City.

Responsibilities

  • Manage a complex executive calendar, prioritizing meetings and ensuring effective use of time.
  • Coordinate internal and external meetings, executive visits, leadership connects, and key events.
  • Anticipate scheduling conflicts and proactively recommend solutions.
  • Prepare the Country Head for meetings by ensuring the right information, materials, and stakeholders are aligned.
  • Track key priorities, commitments, and follow-ups from leadership meetings.
  • Help drive closure on action items and ensure commitments are followed through.
  • Prepare meeting agendas, briefing notes, presentations, and executive summaries as needed.
  • Connect information across teams and proactively flag items requiring the Country Head’s attention.
  • Support key leadership initiatives, business reviews, client engagements, and organizational events
  • Serve as a professional and trusted point of contact for internal and external stakeholders.
  • Coordinate with senior leaders, clients, partners, and corporate teams with discretion and professionalism.
  • Help facilitate communication and follow-through across multiple functions and priorities.
  • Manage travel arrangements, itineraries, expenses, and other executive requirements
  • Handle sensitive and confidential information with a high degree of discretion.
  • Support special projects and ad hoc requirements as they arise.
  • Generate, collate, and provide meaningful analysis and statistical reports
  • Develop comprehensive reports and possibly provide recommendations as needed
  • Critically evaluate information gathered from multiple sources, reconciles conflicts, decomposes high-level information into details

  • Develop comprehensive reports and possibly provide recommendations as needed

Qualifications

5+ years of experience as an Executive Assistant supporting a senior executive, preferably an SVP, Country Head, CEO, or equivalent.


Strong organizational and time-management skills with exceptional attention to detail.


Highly proactive—anticipates needs rather than simply waiting for instructions.


Must have strong data analysis and reporting background; data-driven with the ability to understand and analyze complex data


Strong written and verbal communication skills.


Comfortable working with senior leaders and managing multiple stakeholders.


Strong judgment and ability to handle confidential and sensitive matters.


Excellent follow-through and ability to manage multiple priorities in a fast-paced environment.


Strong proficiency in Microsoft Office, Google Workspace, and collaboration tools.


Flexible and willing to work beyond standard hours when business requirements call for it.


Must be amenable to graveyard shift


Amenable to work on-site. Office location is in Quezon City / Pasig City.
