- Supports operations by supervising the whole Admin Department thru planning, coordinating administrative procedures and systems and to ensure that the day-to‑day operations run smoothly.
- Creates, improves and implements company polices, programs and procedures related to company administration.
- Ensures proper maintenance and housekeeping of the Company's premises.
- Performs periodic Admin personnel job performance and provide coaching and guidance as needed to ensure maximum efficiency.
- Responsible for the safety and security of the company.
- Acts as Head of Security.
- Assessing the Security Officer's (OIC) job performance.
- Reviews and approves service provider contracts for the Department.
- Creates, reviews and revises Admin SOPs and policies.
- Manages and monitors the ff:
- Comprehensive motorcar insurance (application and renewal) of all company vehicles/motors.
- Vehicle/motor insurance claim.
- Coordinates with 3rd party as needed.
- Periodic reviews relevance of conditions of the deed of vehicle assignment.
- Reviews and approves alternative 3rd party providers and suppliers for future consideration.
- Periodic reviews and approves the department’s budget (Quarterly expenses and annual proposed budget).
- Reviews and approves service provider contracts for the Department.
- Reviews and updates job descriptions of all Admin personnel whenever necessary.
- Conducts orientation of newly hired employees for Admin Department.
- Reviews and approves utility reports and billings being provided by 3rd Party Services.
- Reviews and approves the inventory of non-trade items (office supplies and consumables).
- Reviews and approves utilization/consumption of personnel with car assignments, delivery vehicles, and executive cars.
- Reviews and approves the acquisition/selling of company assets including disposal.
- Oversees the Company Fleet vehicle maintenance management of Delivery Vehicle, Sedans and Motorcycles.
- Oversees all utilities are properly monitored and that corresponding payments for all utilities are done on or before prescribed date.
- Oversees the monitoring of GPS status of all sedan and delivery vehicles and coordinates 3rd party provider if needed.
- Oversees and executes Merville's request for repairs and maintenance and other pending tasks to do as reported based on the Security reports/checklist.
- Manages CCTV operations and approves request for viewing.
Academic Qualifications
Bachelor of Science Major in Business Administration
Experience
- Minimum of 10-year(s) experience in areas of [Engineering, Management, Property Management, Accounting & other Admin-related functions].
- Knowledge and/or experience in material/asset procurement is an advantage.
- Knowledge and/or experience in general maintenance functions is an advantage.
Communication Skill
Above average communication skills in English and can compose legal and business correspondence.
