Role Overview

You are the coordination point between the client, our Corporate Secretary, and the government agencies we file with — making sure requirements are collected, documents are prepared from our templates, submissions actually reach the agency, and nothing slips past a deadline.

The technical and legal judgment sits with our Corporate Secretary and Compliance team. Your job is to run the process around it: chase the missing document, book the filing, track the status, update the client, and flag problems early.

This is a hands-on role. You will be in SEC, BIR, LGU, and other government offices on a regular basis, not only behind a desk.

Key Responsibilities
1. Client & Corporate Secretary Coordination
  • Serve as the day-to-day point of contact between clients and our Corporate Secretary on active cases.

  • Collect and check client requirements against our checklists — IDs, forms, proofs, signatures, notarization — and follow up until the file is complete.

  • Route documents for review, signature, and notarization, and get them back on time.

  • Relay the Corporate Secretary's instructions and requirements to clients in plain, non-legal language.

  • Set and manage client expectations on timelines, government processing times, and what is needed from them next.

2. Case Monitoring & Deadline Management
  • Own the case tracker: keep the status of every active incorporation, registration, and compliance filing current and accurate.

  • Monitor statutory and internal deadlines (GIS, renewals, permit expiries, submission windows) and raise them before they become urgent.

  • Run regular status checks across open cases and produce simple status updates for clients and internal review.

  • Escalate early when a case is stalled, a requirement changes, or a deadline is at risk.

3. Government Liaison & Field Work
  • Handle submissions, follow-ups, and document releases at SEC, BIR, LGU, and other government offices and accredited partners.

  • Queue, file, pay, and secure receiving copies, reference numbers, and released documents.

  • Follow up in person or by phone on pending, delayed, or returned filings until they are resolved.

  • Build and maintain working relationships with agency personnel, notaries, couriers, and accredited partners.

  • Report back accurately on what the agency actually said or required — including when it differs from our standard process.

4. Document Handling & Preparation (Template-Based)
  • Prepare standard documents by populating Korp's approved templates and forms — GIS, secretary's certificates, board resolutions, affidavits, agency application forms.

  • Check documents for completeness, correct details, signatures, and attachments before they go out.

  • Assemble and submit complete document packages per agency requirements.

  • Route anything non-standard to the Corporate Secretary or Compliance for drafting and approval — this role does not draft or interpret legal documents.

5. Records & Administrative Control
  • Maintain complete, well-organized corporate records and case files, physical and digital.

  • Keep trackers, logs, and internal systems updated as the single source of truth on case status.

  • Manage receiving copies, official receipts, transmittals, and courier records.

  • Support post-incorporation changes, renewals, and recurring compliance cycles administratively.

6. Process Discipline & Improvement
  • Work within existing SOPs, checklists, and workflows, and use them consistently.

  • Flag where a process breaks down in practice and suggest fixes.

  • Note recurring exceptions or agency requirement changes so they can be built into our standard flows.

  • Help keep checklists and internal guides accurate based on what actually happens on the ground.

Qualifications
  • Bachelor's degree in Business Administration, Office Administration, Legal Management, Public Administration, Communication, or any related field.

  • 1-3 years of experience in administrative coordination, liaison work, client servicing, or operations support. Experience as a liaison officer, permits/licensing assistant, or admin coordinator in a professional services, real estate, construction, or BPO setting is a strong fit.

  • Familiarity with SEC, BIR, and LGU processes is a strong advantage.

  • Willing and able to do regular field work across Metro Manila. Comfortable navigating government offices and queues.

  • Comfortable using digital tools, trackers, and internal systems (spreadsheets, task/CRM tools, shared drives).

  • Good written and spoken English and Filipino.

  • Deadline-driven, with the follow-through to chase things down without being reminded.

  • Comfortable following up persistently and politely, with clients and with government personnel.

  • Clear communicator who can explain requirements to non-legal people.

  • Knows when to elevate instead of deciding on their own.

  • Comfortable working in a process- and platform-led environment.
