Key Responsibilities
Administrative Support
- Provide day-to-day administrative support to ensure efficient office operations
- Manage schedules, calendars, meetings, and correspondence
File Management
- Maintain organized physical and digital filing systems
- Ensure accurate record-keeping and easy document retrieval
Communication
- Serve as the primary point of contact for internal and external communications
- Answer phone calls, respond to emails, and coordinate with clients and stakeholders
Document Preparation
- Draft, edit, and format letters, reports, presentations, and other business documents using Microsoft Office Suite
Meeting Coordination
- Organize meetings and appointments
- Prepare agendas, record meeting minutes, and coordinate logistics
Office Management
- Monitor office supplies and equipment
- Coordinate with vendors and maintenance personnel when necessary
Event Planning
- Assist in planning and executing company events, meetings, and corporate activities
Data Management
- Input, update, and maintain records in company databases and spreadsheets accurately
Confidentiality
- Handle confidential and sensitive information with professionalism and discretion
Skills and Qualifications
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with office management software such as QuickBooks and CRM systems
- Ability to multitask and manage priorities effectively in a fast-paced environment
- Professional attitude with strong interpersonal skills
- Ability to work independently and collaboratively within a team
Preferred Qualifications
- Previous experience in an administrative or office management role
- Certification in office administration or related fields (e.g., Certified Administrative Professional, Microsoft Office Specialist)
- Experience in event planning or project management is an advantage
Educational Requirements
