Job Description
In this position, you will hold the title of "Admin Assistant" and work closely with the HR/Admin team to support daily administrative operations and ensure the smooth and efficient functioning of the workplace. The role focuses on office administration, facilities and workplace management, government compliance, procurement, documentation, company events, and administrative systems. You will also assist in coordinating with building administration, government offices, vendors, and other company departments. You may also support administrative processes involving company loans, internal systems, employee-related administrative requirements, and other General Affairs activities.
Duties and Responsibilities
- Support daily office operations, including facilities, supplies, equipment, procurement, security, and workplace safety.
- Coordinate meetings, appointments, company events, employee activities, and business travel arrangements, including hotel, transportation, and related expenses.
- Serve as a point of contact for employees, internal departments, vendors, clients, government offices, and other external stakeholders.
- Process and monitor government-mandated benefits and statutory requirements, including SSS, PhilHealth, Pag-IBIG, BIR, Business Permits, PEZA, SEC, GIS filings, and other government transactions.
- Assist in coordinating permits, renewals, submissions, and other government compliance requirements, ensuring proper documentation and timely processing.
- Assist in visa and work permit processing for foreign nationals, including tourist visas, 9G visas, visa downgrades, extensions, and DOLE Alien Employment Permits (AEP).
- Coordinate employee benefit enrollments, updates, claims, loans, and inquiries regarding compensation, benefits, and leave entitlements.
- Coordinate with payroll providers, insurance partners, government agencies, and internal departments to support HR and administrative operations.
- Maintain accurate administrative, government, employee, and compliance records and prepare reports and documentation as required.
- Assist with HR projects, audits, employee engagement activities, and other HR and administrative duties assigned by management.
Qualifications
- Bachelor's Degree in Human Resources Management, Psychology, Business Administration, or any related field.
- At least 1-2 years of experience as an Administrative Assistant or HR Assistant, preferably with Compensation and Benefits (ComBen) experience.
- Knowledge of government compliance and statutory requirements.
- Experience handling administrative systems, company loans, or similar processes is an advantage.
- Strong organizational, multitasking, and coordination skills, with the ability to support and coordinate with a team.
- Good English communication skills, both written and verbal.
- Proficient in Google Workspace (Docs, Sheets, Slides, etc.).
- Willing to work onsite in Makati.
- Willing to work flexible schedules, including weekends, holidays, and day, mid, or night shifts.
