Qualifications

  • 1–2 years in accounting, bookkeeping, finance support, or related roles preferred.
  • Experience with ERP systems (Oracle NetSuite) and MS Office.

Responsibilities

  • Process vendor invoices and record in the accounting system.
  • Match purchase orders with invoices and resolve discrepancies.
  • Verify invoice accuracy against PO details and calculations.
  • Code invoices to general ledger accounts for proper classification.
  • Prepare check runs and electronic payments to vendors.
  • Generate customer invoices based on contracts or services.
  • Record incoming payments and maintain accurate financial records.
  • Ensure compliance with accounting standards and internal controls.

About the role

The Accounting Staff provides essential support for the Philippine Heart Association's daily accounting operations, managing accounts payable and accounts receivable transactions, maintaining accurate financial records, and assisting with month-end and year-end closing processes. This position ensures the integrity and accuracy of the organization's financial transactions, supporting the Accounting Supervisor in maintaining effective internal controls and regulatory compliance. The Accounting Staff serves as a critical component of the finance team, handling vendor invoice processing, customer billing, payment applications, and record-keeping that form the foundation of accurate financial reporting. This role requires meticulous attention to detail, strong organizational skills, and technical proficiency with accounting systems and tools.

Key responsibilities
  • Process vendor invoices including receipt, coding, validation, and recording in the accounting system
  • Match purchase orders with invoices and resolve discrepancies through vendor coordination
  • Verify invoice accuracy including quantities, rates, calculations, and compliance with purchase orders
  • Code invoices to appropriate general ledger accounts ensuring proper transaction classification
  • Prepare check runs and electronic payment requests for vendor payments
  • Generate accurate customer invoices based on contracts, event registrations, or services rendered
  • Record incoming payments to customer accounts accurately and timely
  • Maintain accurate and complete financial records and transaction data in the accounting system
  • Perform accurate data entry of financial transactions from source documents
  • Ensure compliance with accounting standards, company policies, and regulatory requirements
About you
  • Associate's degree in Accounting, Finance, Business Administration, or related field required; or Bachelor's degree in Accounting, Finance, or related field preferred; or Senior High school diploma/GED with 3+ years of relevant accounting/bookkeeping experience
  • Minimum 1–2 years of experience in accounting, bookkeeping, finance support, or related accounting roles
  • Proficiency in Oracle NetSuite or similar ERP accounting systems
  • Strong proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook)
  • Proficiency with email and digital document management systems
  • Knowledge of accounts payable and accounts receivable processes
  • Basic knowledge of nonprofit accounting practices and financial compliance
