Job summary

Ysla Freediver South Trench OPC is seeking an accounting-oriented professional to manage sales and expense recording, invoicing, and inventory processes. The role involves ensuring accurate documentation, maintaining records, and supporting management with periodic reports.

You will collaborate with Sales, Accounting, and warehouse teams to reconcile stock movements, monitor costs, and uphold confidentiality of financial data. This is a full-time position based in the Philippines.

Responsibilities

• Encode daily sales transactions accurately and on a timely basis.
• Encode and maintain records of company expenses.
• Review transaction details and supporting documents for completeness and accuracy.
• Maintain organized records of sales, expenses, and related documentation.
• Prepare periodic sales and expense summaries for management and the accounting team.
• Prepare and issue sales invoices based on approved sales transactions.
• Coordinate with Sales and Accounting teams regarding invoice discrepancies or corrections.
• Record all inventory movements and maintain up-to-date inventory records.
• Monitor inventory balances and identify unusual movements or discrepancies.
• Coordinate with warehouse and operations to document physical inventory movements.
• Assist in regular inventory reconciliation between physical stock and recorded inventory.
• Investigate and report inventory discrepancies to the appropriate personnel.
• Maintain product cost records and update costs based on purchases and adjustments.
• Calculate and maintain inventory valuation using the company's costing method.
• Identify significant cost variances and report them to management.
• Prepare inventory costing and valuation reports when required.
• Maintain records of product costs and selling prices and support pricing reviews.
• Update system price lists based on approved changes.
• Ensure consistency between pricing and recorded sales.
• Flag products where selling prices or costs require management review.
• Prepare regular reports covering sales, expenses, inventory movements, valuations, and costs.
• Maintain confidentiality of company financial, pricing, and inventory information.

Job description

Key Responsibilities

1. Sales & Expense Recording

• Encode daily sales transactions accurately and on a timely basis.

• Encode and maintain records of company expenses.

• Review transaction details and supporting documents for completeness and accuracy.

• Maintain organized records of sales, expenses, and related documentation.

• Prepare periodic sales and expense summaries for management and the accounting team.

2. Sales Invoicing

• Prepare and issue sales invoices based on approved sales transactions.

• Ensure that invoice details correspond with the actual sale, including products, quantities, prices, and applicable discounts.

• Maintain proper records of issued invoices.

• Coordinate with the Sales and Accounting teams regarding invoice discrepancies or corrections.

3. Inventory Movement Monitoring

• Record all inventory movements, including purchases, sales, transfers, returns, adjustments, and other stock movements.

• Maintain accurate and up-to-date inventory records.

• Monitor inventory balances and identify unusual movements or discrepancies.

• Coordinate with warehouse and operations personnel to ensure that physical inventory movements are properly documented.

• Assist in regular inventory reconciliation between physical stock and recorded inventory.

• Investigate and report inventory discrepancies to the appropriate personnel.

4. Inventory Valuation & Costing

• Maintain accurate product cost records.

• Record and update inventory costs based on purchase transactions and other approved adjustments.

• Calculate and maintain inventory valuation using the company's prescribed costing method.

• Monitor changes in product acquisition costs.

• Identify significant cost variances and report them to management.

• Prepare inventory costing and valuation reports when required.

5. Product Pricing Support

• Maintain accurate records of product costs and selling prices.

• Assist management in reviewing product pricing based on current inventory costs and other approved pricing considerations.

• Update system price lists based on approved changes.

• Ensure consistency between approved pricing and recorded sales transactions.

• Flag products where selling prices or costs require management review.

6. Reporting & Record Maintenance

• Prepare regular reports covering sales, expenses, inventory movements, inventory valuation, and product costs.

• Maintain organized and easily accessible accounting and inventory records.

• Ensure that transactions are encoded within the required reporting period.

• Assist in providing supporting records and information to the accounting/BIR compliance team when requested.

• Maintain confidentiality of company financial, pricing, and inventory information.
