Job summary

PAE is seeking a proactive Support Centre Administrator to join our Lower Hutt team, supporting maintenance services and coordinating service requests. This onsite role requires clear communication and precise administration to keep stakeholders informed and processes flowing.

Work is Monday to Friday, 8:30am–5:00pm (40 hours). Appointment is conditional on satisfactory pre-employment checks including credit, Ministry of Justice, and medical/drug tests.

Qualifications

  • 3+ years in an administration role and 1–2 years in customer service.
  • Strong planning, scheduling, and organisational skills.
  • Excellent attention to detail and ability to manage competing priorities.

Responsibilities

  • Administering reactive maintenance workflows from receipt to close-out.
  • Scheduling service requests and coordinating with subcontractors and internal teams.
  • Communicating job updates clearly and professionally to operations and support staff.
  • Ensuring documentation and billing information is accurate and up to date.
  • Responding to incoming requests via phone, email, and online channels.
  • Supporting Health & Safety and Quality system requirements.
  • Assisting with reporting, document control, and general support across the contract.

We’re looking for a proactive and detail-focused Support Centre Administrator to join our Support Centre team in Lower Hutt. This role is at the heart of our operations, supporting the smooth delivery of maintenance services by managing workflows, coordinating service requests, and ensuring accurate, on-time communication with both suppliers and internal teams.

About the role

This is not your average admin role. You’ll be fielding requests, answering the phone, triaging work orders, dispatching jobs to the right people, and following them through from start to finish — all while keeping our systems updated and our stakeholders in the loop.

You’ll be part of a high-performing support team that plays a crucial behind-the-scenes role in keeping the wheels turning. Every day brings something different, and your ability to organise, communicate, and stay cool under pressure will make all the difference.

This is an onsite role, Monday to Friday 8.30am to 5.00pm (40 hours per week).

What you’ll be doing:

What you’ll bring:

  • 3+ years in an administration role and 1–2 years in customer service
  • Strong planning, scheduling, and organisational skills
  • Confidence using IT systems, especially the MS Office suite (and the ability to pick up new systems quickly)
  • Excellent attention to detail and an ability to manage competing priorities
  • A calm, professional approach when dealing with queries, requests, or last-minute changes
  • A team-oriented attitude and a natural instinct to help things run smoothl
