Job summary

Ngāpuhi Iwi Social Services seeks an organised and reliable Administrator to join our Enabling Communities programme. You will coordinate hui, travel logistics and communications to support the Programme Management Group and Ngāpuhi collective and enable delivery for mokopuna and whānau.

You will manage hui scheduling, minutes, invoices and expense tracking, and provide governance secretariat support. Based in Kaikohe, this fixed-term role ends 30 June 2027 with potential secondment options.

We're seeking an organised and reliable Administrator to join our team.

You'll be the administrative backbone of our Enabling Communities prototype, organising hui, logistics and communications so our Programme Management Group and prototype rōpū, including Te Rōpū Whāiti (a Ngāpuhi collective), can focus on delivery and support for mokopuna and whānau.

Your mahi will span hui scheduling and minutes, budget and resource administration, travel logistics and day to day programme administration and similar activities.

This role requires discretion, confidentiality and the ability to anticipate what the programme needs, keeping the mahi moving.

As Administrator you'll be:

  • Scheduling hui, preparing agendas and taking minutes for the prototype rōpū
  • Providing secretariat support to the various programme governance rōpū
  • Processing invoices, tracking expenses and supporting budget administration
  • Coordinating travel logistics and maintaining programme documentation and stakeholder communications

The mahi is part of a programme where we'll be testing new ways of working, and your knowledge and experience will contribute to the design and learnings. You will report directly to the Programme Director, Enabling Communities and have a close working relationship with the Project Coordinator.

This is a full-time fixed-term role ending 30 June 2027 because it supports the time-limited Enabling Communities prototype. Applications from people seeking an agreed secondment may also be considered. The role is based in Kaikohe, and travel may be required from time to time.

You're able to manage competing priorities and keep many moving parts organised in a busy programme environment.

You have experience in programme, project or office administration, including hui and event coordination, minute taking and financial administration such as invoice processing and expense tracking.

You are organised and experienced in working with governance, oversight and advisory rōpū and know what great support looks like in those spaces.

You work with discretion, maintaining confidentiality and handling sensitive information appropriately.

You're a strong relationship-builder, comfortable working with kaimahi, rōpū members, leadership and external suppliers.

You're comfortable in ambiguous scenarios and are open and flexible to change. We are establishing and running a prototype and you will be a key enabler of the testing and the learnings it generates.

We are seeking someone who will contribute positively to a collaborative, high-trust and kaupapa-driven team, and demonstrate mana-enhancing behaviour in their work.

You'll be based in Tai Tokerau/Northland (Kaikohe).

You'll also be part of an organisation that has over 30 years’ experience of providing social services across the rohe.

Ngāpuhi Iwi Social Services provides a range of support and services including youth services, family harm support, care and mātua atawhai services and more.

We provide opportunities for our kaimahi to develop their reo Māori and knowledge of te ao Māori and Ngāpuhitanga in a supportive and encouraging environment.

A full New Zealand driver's licence is required, and appointment is subject to pre-employment checks.
