Job summary

Te Tohu o Te Ora o Ngāti Awa in Whakatāne is seeking a structured and customer-focused Reception and Administration Support person to join our team. This permanent full-time role supports day-to-day operations and frontline service.

You’ll manage reception, fleet coordination, stationery, records, SharePoint, and provide trusted admin support to kaimahi while upholding confidentiality and manaakitanga.

Qualifications

  • Experience in a reception, administration, customer service, or office support role.
  • Excellent customer service, communication, and relationship-building skills.
  • Strong organisational skills, attention to detail, and the ability to manage competing priorities.
  • Experience maintaining records, filing systems, databases, or administration systems.
  • Confidence using Microsoft 365 applications including Outlook, Word, Excel, Teams, and SharePoint.
  • A commitment to confidentiality, professionalism, and accountability.
  • Understanding of Te Tiriti o Waitangi, tikanga Māori, and the practice of manaakitanga.
  • A full New Zealand Driver Licence.
  • You must be legally entitled to work in New Zealand.

Responsibilities

  • Be the welcoming face of our organisation, providing professional reception services and supporting enquiries, visitors, correspondence, and day-to-day communications.
  • Keep our fleet running smoothly by coordinating vehicle bookings, servicing, maintenance, compliance requirements, and fleet records.
  • Ensure our workplaces are well-equipped and operating efficiently through the management of stationery, office supplies, consumables, and supplier relationships.
  • Coordinate uniform ordering, stock levels, and record management to support our kaimahi.
  • Support the upkeep of our facilities by tracking maintenance requests and liaising with contractors.
  • Manage organisational equipment, shared resources, booking systems, inventories, and asset records to ensure everything is where it needs to be.
  • Maintain accurate records, filing systems, archives, and information management processes, including SharePoint.
  • Provide trusted administrative and operational support to managers and kaimahi, helping create a safe and welcoming work environment.
  • You are a proactive and highly organised administrator who enjoys helping others, thrives in a busy environment, and takes pride in delivering excellent customer service.
  • You are comfortable managing multiple tasks, maintaining accurate records, and building positive relationships with a wide range of people.

We're looking for an organised and customer-focused Reception and Administration Support person to join our team in Whakatāne. This is a permanent full-time role that plays a critical part in ensuring the smooth day-to-day operation of our organisation.

In this varied and rewarding role, you'll help keep our organisation running smoothly by supporting our people, workplaces, systems, and day-to-day operations. Your responsibilities will include:
