We are seeking an organized, proactive Operational Support Coordinator to join our Group Services team; you will coordinate processes, maintain records, and support teams to ensure tasks are completed efficiently and to high standards.
Strategic Solutions Management was established to provide expert leadership, strategic guidance, and operational support across a growing group of businesses specialising in architectural drafting, building compliance, building consent processing, inspections, and technical services.
About The Role
We are looking for an organised, proactive, and detail-oriented Operational Support Coordinator to join our Group Services team. This is a varied and rewarding role that plays a key part in keeping our business running smoothly, providing essential operational, administrative, and customer service support across the Group.
As our Operational Support Coordinator, you will be at the heart of our day-to-day operations, helping coordinate processes, maintain accurate records, support our teams, and ensure tasks are completed efficiently and to a high standard. From coordinating the upfront building consent process to supporting quality assurance and improving business systems, no two days will be quite the same.
Key responsibilities will include:
Providing reliable administrative and operational support to the wider Group Services team.
Coordinating the upfront building consent process, ensuring applications are received, checked, entered, and allocated accurately and within required timeframes.
Supporting consent processing workflows, ensuring documentation, records, and processes meet quality and compliance requirements.
Assisting with reporting, document management, and business administration to keep information accurate, organised, and up to date.
Delivering excellent customer service by responding to enquiries and working with customers, councils, suppliers, and other stakeholders to resolve issues promptly.
Coordinating a range of business support activities across HR, IT, office administration, meetings, and Group-wide projects.
Supporting quality assurance, accreditation, and audit requirements, helping maintain consistent standards across the business.
Identifying opportunities to streamline processes, improve systems, and make everyday operations more efficient.
This role is ideal for someone who enjoys variety, takes pride in keeping things organised, and thrives on making sure the details are taken care of. You’ll build strong working relationships across the business, take ownership of a broad range of responsibilities, and play an important role in supporting our people, processes, and day-to-day operations. With a supportive team around you and plenty of opportunities to broaden your skills, this is a great opportunity to make a genuine difference in a growing business.
About You
You are a proactive, capable administrator who enjoys variety, takes initiative, and brings a practical, solutions-focused approach to your work. Comfortable managing financial administration, supporting senior leaders, and juggling competing priorities, you know how to keep things moving without losing sight of the details. Strong communication skills, sound judgement, and a natural ability to build relationships make you someone others can rely on. Pride in producing accurate work, discretion when handling sensitive information, and a drive to find better ways of working will see you thrive in this role.
To be successful, you’ll bring:
At least 3 years’ experience in administration, business support, operations, or a similar role.
Experience supporting senior leaders and/or corporate or Group Services teams.
Strong accounts administration experience, including accounts payable and receivable, invoicing, reconciliations, and financial record-keeping.
Excellent attention to detail, numerical accuracy, and a methodical approach to completing tasks.
Confidence handling confidential and commercially sensitive information with discretion and professionalism.
Advanced Microsoft Office skills, particularly Excel, and confidence using business systems, spreadsheets, databases, and document management platforms.
Strong written and verbal communication skills, with the ability to build positive relationships across different teams.
The ability to work independently, manage competing deadlines, and adapt when priorities change.
A proactive, solutions-focused mindset, with the initiative to identify improvements and make processes work better.
It would be an advantage to have:
A tertiary qualification in Business Administration, Accounting, Finance, or a related field.
Experience in the building, construction, government, professional services, or regulatory sectors.
Familiarity with building consent processes, local councils, or regulatory requirements.
