P&F Global is looking for an organised, proactive Operations Administrator who enjoys keeping things moving, supporting others and bringing structure and follow-through to a broad Supply Chain & Operations function. You'll work closely with the Supply Chain & Operations Manager, Procurement & Supply Planning Specialist, Logistics Specialist, Branch Distribution Managers and Operations teams. Your support will help keep actions, records, reporting and operational information accurate, current and moving on time. You'll be site-based and connected to the day-to-day operational environment at either the Auckland or Invercargill site, while providing support across P&F Global's wider Supply Chain & Operations function.
Provide day-to-day administration, coordination and reporting support across Supply Chain & Operations, maintaining accurate trackers, action lists, reports and records and following up actions and deadlines.
Support the administration of customer feedback and follow-up processes, ensuring records are complete, information is followed up, and reporting and actions are kept on track.
Support Logistics and Procurement with routine administration, including freight bookings and tracking, shipment records, provider follow-up, invoice information and approved purchase‑order, manifest and inbound‑shipment transactions.
Provide administrative support for stock takes, cycle counts, reconciliations and stock‑control processes led by Branch Distribution Managers, keeping records and follow‑up actions accurate and current.
Maintain operational documents, SOPs, templates and SharePoint content, helping ensure information is current, well organised, appropriately version‑controlled and easy for teams to access.
Prepare clear, well‑organised documents, reports, presentations, process maps, guides, templates and training material to support the wider team.
Identify missing information, delays, discrepancies and recurring administrative issues early, following them up or escalating them to the appropriate person.
Support practical process improvements and look for simpler, more consistent ways of working through better systems, processes, automation and responsible use of approved digital and AI tools.
Help create a responsive, reliable support environment by managing competing priorities, keeping tasks moving and closing the loop on commitments.
Strong administration, coordination and follow‑up skills, with the ability to manage competing priorities and keep tasks moving.
High attention to detail and accuracy, with confidence working with reports, spreadsheets, trackers and operational data.
Clear written and verbal communication skills and a responsive, service‑oriented approach to supporting others.
Strong document formatting, record‑keeping and process‑documentation capability.
Practical problem‑solving skills, initiative and the confidence to identify and elevate issues early.
Competence using Microsoft Office; experience with ERP systems such as NetSuite would be advantageous.
Experience supporting Operations, Supply Chain, Freight, Procurement or Inventory functions would be valuable.
Experience with document control, SharePoint content, SOP maintenance, stock‑take administration, freight bookings, invoice checks or operational reporting would be advantageous.
Comfort using approved digital and AI tools to improve efficiency, consistency and routine administration.
A relevant administration, business or operations qualification would be advantageous, but practical experience and a strong can‑do approach are equally important.
