Job summary

Werk Agency in Auckland is seeking an exceptionally organised Finance Administrator & Office Manager to keep the financial and operational side of our agency running smoothly. You will collaborate with marketing, creative and leadership teams to manage invoicing, budgets and supplier relationships.

This six-month fixed-term role is 20 hours per week at our Auckland office, with flexible hours and scope to improve processes and templates, ensuring contracts, payroll and HR paperwork are well

  • Experience in finance administration, accounts support, payroll, HR administration or office management.
  • Confidence working with invoices, supplier bills, budgets and financial documentation.
  • Experience preparing contracts or employment paperwork from approved templates.
  • Strong attention to detail and excellent follow-through.
  • Ability to manage recurring deadlines without constant supervision.
  • Clear, friendly and professional communication.
  • Experience using Xero or similar accounting and payroll software.

Werk Agency is looking for an exceptionally organised Finance Administrator & Office Manager to help keep the financial and operational side of our agency running smoothly.

We are an independent creative and marketing agency working across strategy, campaigns, content, design, digital media and brand experiences.

Behind every great piece of work is a lot of important administration. Client budgets need to be current, projects need to be correctly set up, supplier costs need to be captured, invoices need to go out and contracts need to be signed.

That is where you come in.

You will work closely with our marketing team, creative team, Client Services Director and agency leadership to coordinate monthly invoicing, bookkeeping support, payroll, HR paperwork, supplier correspondence, contracts and general office operations.

This is a hands‑on role for someone who likes creating order, following things through and making sure the important details do not get lost in the excitement of agency life.

What you will be doing
  • Coordinating monthly client invoicing.
  • Supporting bookkeeping and financial record keeping.
  • Keeping client budgets and project information accurate and up to date.
  • Monitoring supplier costs, project budgets and invoicing status.
  • Making sure costs are assigned to the correct client, campaign or project.
  • Tracking supplier invoices, purchase orders and outstanding documentation.
  • Coordinating payroll information and employee leave records.
  • Preparing employment agreements, contractor agreements, variations and other paperwork from approved templates.
  • Coordinating signatures, renewals and the secure filing of contracts.
  • Supporting employee and contractor onboarding and offboarding.
  • Managing correspondence with suppliers, freelancers and media partners.
  • Following up missing information, approvals, invoices and paperwork.
  • Helping the team follow clear financial and administrative procedures.
  • Developing templates, checklists and more efficient ways of working.
  • Keeping our Auckland office organised, welcoming and running smoothly.
About you

You are practical, organised and naturally good at keeping track of the little things.

You are comfortable working with numbers, invoices, budgets, payroll information and contracts. You can also communicate confidently with a team of marketers, creatives and client service people.

You are not afraid to follow something up, ask where an invoice is or remind a project owner that their budget needs updating.

You do not just complete a process because that is how it has always been done. You notice where things are falling through the cracks and help create a better way of working.

You will ideally have:
  • Experience in finance administration, accounts support, bookkeeping, payroll, HR administration or office management.
  • Confidence working with invoices, supplier bills, budgets and financial documentation.
  • Experience preparing contracts or employment paperwork from approved templates.
  • Strong attention to detail and excellent follow‑through.
  • The ability to manage recurring deadlines without constant supervision.
  • The confidence to follow up team members and suppliers when information is missing.
  • Clear, friendly and professional communication.
  • Experience using Xero or similar accounting and payroll software.
  • Experience improving processes, templates or administrative workflows.
  • Experience in an agency, media, marketing, creative or project‑based business, although this is not essential.
What success looks like

You will help ensure that:

  • Monthly invoicing and payroll are completed accurately and on time.
  • Client budgets and project records are current.
  • Supplier costs are captured against the correct jobs.
  • Contracts and HR paperwork are completed and properly stored.
  • Financial risks or missing information are identified early.
  • The team follows clear, practical administrative procedures.
  • Agency leadership has better visibility over project budgets, costs and profitability.
  • Our Auckland office operates smoothly.
The role

This is a six‑month fixed‑term position working approximately 20 hours per week from our Auckland office.

We can offer some flexibility around how the hours are structured, although availability around monthly invoicing, payroll and financial deadlines will be important.
