Mondiale VGL Pty in Auckland is seeking an experienced Export Operations Specialist to manage and coordinate air export shipments, ensuring documentation is accurate, compliant with international regulations, and delivered on schedule. You’ll be the main client contact, handle bookings, prepare export docs, and work with our Transport and Warehouse teams to keep cargo moving smoothly across borders.

This role requires 3+ years in export/air freight, knowledge of NZ procedures, and proficiency

Qualifications

• 3+ years proven experience in export operations, air freight, or international logistics.
• Comprehensive knowledge of export documentation requirements and customs regulations
• Familiarity with New Zealand export procedures and international trade compliance
• Proficiency with logistics management systems and cargo tracking software
• Strong organizational and time management skills with the ability to handle multiple shipments simultaneously
• Exceptional attention to detail and accuracy in documentation and data entry
• Problem-solving abilities and capacity to work independently and as part of a team
• Knowledge of air freight operations and industry best practices
• Preferred: Experience with CargoWise freight system

Responsabilités

• Coordinate air export bookings and ensure on-time pickup and delivery with airlines and internal teams.
• Prepare export documentation, handle invoicing and filing after each flight, and maintain monthly schedules.
• Serve as the main point of contact for clients, responding to inquiries and resolving issues promptly.
• Follow health and safety procedures and complete required training in areas like DG, Customs, and Load & Restraint.

Job Description

In this role, you’ll manage and coordinate air export shipments while making sure all documentation is accurate, complete, and fully compliant with international regulations.

What You’ll Do

Bookings & Coordination

• You’ll handle bookings via phone and email, secure the right airspace with airlines, and coordinate closely with our Transport and Warehouse teams. Your job? Make sure every pickup is scheduled and every cargo load is ready to roll exactly when it needs to be.

Documentation & Admin

• You’ll prepare all export documentation with precision, handle invoicing and filing after each flight, and create monthly console schedules. Accuracy is key—because in airfreight, even small errors can have big consequences.

Customer Service

• You’ll be the main point of contact for our clients, responding to enquiries quickly, solving issues efficiently, and building lasting, professional relationships. Your ability to communicate clearly and stay calm under pressure will keep customers trusting us for their airfreight needs.

Safety & Compliance

• You’ll follow all health and safety procedures, report any incidents accurately, and complete essential training in areas like Dangerous Goods, Customs, Security, and Load & Restraint. Your commitment to safety keeps our operations running smoothly and protects everyone involved.

Qualifications

What You'll Bring

• 3+ years proven experience in export operations, air freight, or international logistics

Desirable Experience

• Experience using CargoWise or similar freight forwarding systems.
• Knowledge of Dangerous Goods (DG) requirements and aviation security processes.
• Exposure to customs and regulatory requirements relating to export airfreight.
• Experience preparing freight quotations and customer pricing requests.
• Relevant industry certifications or training in airfreight, freight forwarding or logistics operations.
• Experience working with airline carriers, transport providers and warehouse operations.
