The Executive Officer is responsible to the Principal and works 25 to 30 hours per week over a 40-week year. The role encompasses reception duties, financial management, records and communication, medical and emergency preparedness, and whole school responsibilities.
Key responsibilities
Meet and greet visitors, answer questions or provide information efficiently and accurately
Print, forward and respond to email messages
File documents and deliver urgent messages to staff and students as required
Daily follow up of absences and answer incoming phone calls
Process student payments on SMS from banking when required
Approve dual authorisation bank payments and complete banking promptly
Issue receipts for all money coming into the school and maintain security of money on site using the safe
Monitor and pay credit card accounts and receipts, and carry out termly staff reimbursements
Monitor and process school EFTPOS terminal accounts and enter invoices for approval
Reconcile statements to records and prepare monthly financial reports for BOT members
Check SUE reports for correct relief teacher payments and coding
Manage Xero in-house financial systems in close consultation with the Principal
Prepare budget estimates with the Office Manager by November each year
Prepare annual account information and audit package for auditor
Load extra curricular onto SMS and send out termly statements to families
Attend and actively participate in Finance Committee meetings
Process grant applications in conjunction with Principal
Maintain school SMS financial records on an ongoing basis in conjunction with Xero
Undertake training on e-Tap, Enrol, Novopay, Xero and new software packages as necessary
Accurately maintain electronic attendance registers and enter manual attendance records from relief teachers into SMS
Prepare input to the School Newsletter in conjunction with the Principal and Office Manager
Maintain staff leave sheets and records of relievers regularly
Complete EdPay transactions for relief teachers on the day they work
Complete payroll forms with Principal and forward as required
Document personnel pay and employment changes and inform appropriate agencies
Act as a designated First Aider, attending to children requiring minor treatment and administering medicines as arranged with parents and caregivers
Hold and maintain First Aid Qualification
Notify parents promptly of illness if required
Keep the accident register available and up to date
Inform the Principal or deputy immediately of serious accidents caused by hazards that can be rectified
Inform the Office Manager of first aid materials requiring replacement or replenishment
Administer medication to students as required and with authorisation from parents and caregivers
Support Principal and Office Manager with drills and emergency evacuation procedures
Work cooperatively and supportively with other staff
Assist in setting, modelling and maintaining high standards in every area of school life
Take an active part in school affairs beyond the office and finance management
Maintain positive relationships with parents and help promote and uphold the interests and image of the school
Maintain confidentiality at all times and represent the school professionally
Adhere to school policies and procedures
About you
Present a positive front of house experience for members of the school community and visitors
Have strong communication skills including a willingness to use greetings in Te Reo Māori
Be highly organised and efficient
Show integrity and empathy when dealing with others and sensitive issues
Be flexible and willing to learn
Have recent experience using Edpay, Xero, ENROL and the Google Office Suite
Be able to work independently
Hold or be willing to obtain First Aid Qualification
